Job description:
This position is ideal for someone who thrives in a fast-paced environment, is detail-oriented, and enjoys managing multiple tasks that contribute to the success of the Talent Acquisition function.
Key Responsibilities:
- Provide dedicated administrative support throughout candidate interviews and new hire onboarding. Manage pre-employment tasks including candidate testing, interview scheduling, and travel coordination.
- Coordinate new hire activities such as relocation, sign-on bonuses, and onboarding tasks.
- Serve as the primary manager and facilitator of ServiceNow incoming tickets, providing first-level resolution.
- Handle TA staffing inbox, conducting email and phone correspondence to ensure timely and accurate responses.
- Analyze and improve current processes; implement approved changes to enhance efficiency.
- Support Senior TA Administrative Coordinators and other TA team members.
- Assist with first-day onboarding activities (e.g., I-9 verification, paperwork, training coordination). Maintain confidentiality and adhere to company's policies and procedures. Promote company's reputation as a “Best Place to Work.”
- Track and document procedures, including creating FAQs, answer sheets, and updating tracking spreadsheets.
- Oversee TA support lines (internal and external), Fieldglass support, TA timekeeping, and background check processes.
Qualifications:
- Minimum of 4 years of experience in Talent Acquisition, Human Resources Coordination, or a similar role. Experience and / or Familiarity with E-Verify, SAP, ServiceNow, Fieldglass, and One Workforce platforms.
- Strong numerical and financial task skills. Exceptional attention to detail and thoroughness.
- Highly proficient in Microsoft Office Suite, especially Excel and PowerPoint.
- Excellent organizational and time-management skills; ability to work independently.
- Strong commitment to confidentiality and HR compliance.
- Independent thinker with a proactive approach and strong execution capabilities.
- Solid understanding of corporate recruitment processes and best practices (preferred).
- Strong verbal and written communication skills.
Onsite Requirement:
This role requires the Contingent Worker to be onsite four days per week to support responsibilities related to administering strength test procedures.
Travel Requirements:
Occasional in-state travel may be required for events or site visits and less than 10%. Out-of-state travel is not required.
Schedule: Generally 8-5PM with potential to start as early as 6AM
· Hybrid: 4 days onsite required (generally M,T,W,F onsite - subject to change)
· Driving/Travel: Will be expected to use their own vehicle to travel between local AZ sites. Potential for Smith Test at a later time.
