The Institutional Advancement Operations Associate will assist in all activities related to the Museum's CRM (Tessitura), support corporate membership and basic foundation management, perform general administrative tasks for the Institutional Advancement department, and project manage specific work throughout the year. This role is crucial for maintaining data integrity and supporting the department's fundraising efforts. 

Essential Duties and Responsibilities include but are not limited to:  

Assist in all aspects of CRM (Tessitura) database management, including data entry, cleanup, and report generation. 

Coordinate all acknowledgement letters as needed for the department.  

Help with all grant seeking/tracking activity including a calendar for deadlines, reports, compiling materials etc.  

Assist with corporate member renewal and correspondence.  

Manage the department’s communications calendar.  

Create fundraising reports and other database reports as needed. 

Support the production of the annual report and our bi-annual newsletter.  

Conduct foundation and corporate prospect research and prepare detailed profile reports. 

Assist with corporate membership activities including renewal and benefit fulfillment. 

Provide general administrative support to the Institutional Advancement department, including scheduling meetings, managing correspondence, and preparing materials. 

Project manage specific departmental initiatives and timelines throughout the year, ensuring tasks are completed efficiently and on schedule. 

Attend Institutional Advancement and Museum-wide events as necessary to assist the department.  

Other duties as assigned by management.

The ideal candidate will have a Bachelor's Degree from a 4-year college/university or equivalent combination of academic and work experience, minimum three years of fundraising experience, preferably at a cultural institution. Experience working with a donor database, experience with Tessitura a plus. Proficient with Internet and other research tools. Demonstrated ability to prioritize and coordinate multiple projects. Ability to work weekends, holidays, and evenings as necessary.  Additional Competence Requirements are exceptional written, verbal, and interpersonal communication skills with the ability to interact with high-profile donors. Highly organized with a strong sense of personal accountability and follow-through including a superior attention to detail.  Ability to adapt to a fast-paced environment. Ability to understand sensitive information and maintain confidentiality. Strong critical thinking and complex problem-solving skills.
