POSITION SUMMARY 
The Administrative Assistant II will provide administrative support and assistance to the Court Administrator.

Position Duties

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Provide administrative support and assistance to the Court Administration Department.
  2. Assist with the managing of Court Administrators calendar and tasks ensuring timely participation of meetings, scheduling meetings and completion of tasks.
  3. Perform clerical and administrative tasks including drafting letters, memos, reports, charts, graphs, file organization, and meeting minutes. Microsoft Office Suite or MS365.
  4. Direct and provide exceptional customer service to employees and visitors.
  5. Backup to front desk by answering Court Administration telephone line, directing calls to appropriate party when necessary. Answer inquiries that require general knowledge of departmental and Court procedures. Makes referrals to other departments, agencies or outside entities as appropriate.
  6. Provide customer service as backup to front desk with the public and other Court personnel. Greets all individuals and addresses their questions and requests promptly and professionally.
  7. Completes administrative support tasks in a timely, accurate and professional manner. Tasks may include, but are not limited to, composing correspondence, forms and other documents, photocopying, faxing, filing, preparing mailings, sorting mail, e-mailing, assembling packets/binders and other tasks of an administrative support nature.
  8. Provide support to other staff members when needed, and other departmental management to include areas such as finance, human resource, payroll and special Court projects.

KNOWLEDGE, QUALIFICATIONS, SKILLS and ABILITIES

  • Proficient with Microsoft Office Suite and managing Outlook expertise.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, and clerical procedures.
  • Ability to maintain confidentiality.
EDUCATION and/or EXPERIENCE
High School graduate or equivalent. Minimum of three (3) years' experience in an administrative and/or clerical position required. Must demonstrate clerical skills including but not limited to data processing, record keeping, scheduling, and Microsoft Office Suite or MS365.

In addition, while carrying out the duties of this position, the employee is expected to model high ethical conduct on and off the job and exhibit a professional and respectful demeanor with all Court employees.

Qualified applicants may be required to submit to testing and provide writing samples. Proof of education and employment references will be required before final interview. Employment predicated upon successful completion of criminal record check and drug testing required. You'll be considered a probationary employee for your first 180 days of employment.
