Summary/Objective

We are seeking a highly organized and proactive Vending Contractor Coordinator to lead the end-to-end process of sourcing, vetting, and onboarding third party vending contractors who refill vending machines across various customer locations. This role ensures all vendors and independent contractors are compliant, efficient, and aligned with company and customer standards and requirements supporting smooth field operations and client satisfaction.

Essential Functions

Sourcing - 3rd Party Contractor Assignments

  • Track third party and independent contractor vending needs by location based on new vending contracts.
  • Maintain and update the "Refiller project needs" list and communicate weekly sourcing needs to internal channels to manage postings.
    • Review qualified contractors background to assess ability to meet project requirements and forward qualified candidates to relevant Vending Coordinators.
    • Conduct outreach to qualified contractors via phone/email.
    • Explain customer project requirements, contractor expectations, service geography, and standard payment structure.
    • Work with the Integrated Solutions Manager to align contractor payment structure with route complexity.
    • Confirm contractor interest and finalize selections.
    • Create and execute contractor agreement and set up documents for vending contractor services. Initiate any customer compliance screenings and send the contractor onboarding documents.
    • Ensure timely completion and submission of paperwork to Accounting and maintain accurate contractor records.
    • Coordinate with Accounting to verify paperwork and vendor setup in the AP system.
    • Ensure all customer compliance with the screening requirements and training is completed.

Operational Handoff

  • Organize account walkthroughs between new contractors, local sales reps, and customers to ensure expectations are aligned before work begins.
  • Update internal tracking systems (Refiller Master Sheet, Payment Tracking).

Work Environment

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

  • While performing the duties of this job, the employee is regularly required to effectively communicate. The employee frequently is required to stand and walk; Ability to sit for long periods of time at a desk. Frequent use of hands to operate the computer and phone. 

Position Type/Expected Hours of Work

  • This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.

Travel

  • Occasional travel is required to visit customers and make presentations.

Required Education and Experience

  • High School Diploma or GED equivalent
  • Bachelor’s degree in business related field or equivalent combination of education and work experience in related business field.
  • Demonstrated ability to work in a fast paced, high-volume environment and effectively coordinate and manage multiple priorities and tasks.
  • Microsoft Office suite proficiency; Excel, Word, and Outlook

Preferred Education and Experience

  • Bachelor’s Degree in related business field
  • Prior experience cold-calling or sourcing vendors or candidates. 
  • Prior experience performing recruiting-related duties is preferred. 
  • Prior experience working in a business environment that outsourced contract projects or assignments. 
  • Understanding of IRS regulations and overseeing independent contractor/1099 business relationships.
