Job Summary
A Finance Administrative Assistant will play a crucial role in supporting the financial operations of the organization. They will be responsible for providing administrative assistance to the finance department, ensuring smooth day-to-day operations, and contributing to the overall efficiency of financial processes. The ideal candidate will possess strong organizational skills, attention to detail, and a solid understanding of financial procedures.
Essential Job Functions

- Administrative Support - Manage and organize financial records, documents, and reports. Coordinate meetings, appointments, and travel arrangements for finance professionals. Handle phone calls, emails, and correspondence related to finance matters.
- Data Entry and Bookkeeping - Accurately input financial data into accounting software or spreadsheets. Assist in maintaining financial records and ensuring they are up-to-date.
- Expense Management - Process and track employee expenses. Assist in reconciling credit card statements and receipts.
- Financial Documentation - Assist in the preparation of invoices, purchase orders, and other financial documents. Maintain organized and accessible financial files.
- Communication and Collaboration - Liaise with other departments. Communicate effectively with internal and external stakeholders. Collaborate with team members. Request Invoice approvals.
- Compliance - Support the preparation of documentation for audits and financial reviews.
- Helps coordinate team events, meetings and activities.
- Incoming and outgoing mail management
- Ensures the copier and stamp machine are working properly and coordinates service.
- Supports Chief Financial Officer and Controller.
- Assist in special projects as needed.

Required Education
- Associates Degree in Accounting or Business Administration.
Required Experience
- Proven experience as an administrative assistant or in a similar role (+4 years).

Required Knowledge, Skills, and Abilities
- Familiarity with basic financial principles and practices.
- Proficiency in using financial software and Microsoft Office applications.
- Excellent organizational and multitasking abilities.
- Strong attention to detail and accuracy.
- Effective communication and interpersonal skills.
Preferred Qualifications
- Oracle Fusion and R-12 prior experience is preferred.
