Position Summary:
Animal Friends’ Clinic Services program provides access to high-quality spay/neuter and primary veterinary care to pet owners experiencing financial and accessibility constraints. The Program Assistant serves as an integral member of the Clinic Services Program Assistant Team, providing professional client communication and care through all facets of our clinic day. Whether in-person, on the phone, or via digital communication, the Program Assistant is responsible for providing high-quality, compassionate, and professional communication and care for the clients of Clinic Services. It is also expected that this same high-quality, compassionate, and professional communication and care is provided to partner groups as well as Animal Friends and external colleagues.
The Program Assistant is the first point of contact for clients and must set a positive and welcoming tone during all interactions. This position is responsible for completing surgery check-in, managing incoming calls, responding to voicemails and emails, scheduling appointments, and educating clients about spay/neuter and feral cat colony management. The incumbent is well versed in Microsoft Excel, Word, and Teams. They have excellent customer service skills, setting a positive example for coworkers and volunteers.
It is essential that the incumbent have an outgoing, positive personality; excellent communication skills; a sincere interest in serving both people and animals; and comfort working in a fast-paced team environment.
We expect our staff to be comfortable interacting with cats, dogs and rabbits of varying sizes, temperaments and backgrounds and serving as an advocate for their care and rehoming. As with every position within Animal Friends, this position is expected to promote the organization’s mission, vision, core values, culture, and policies while supporting an environment of collaboration, teamwork, and mutual respect.
Flexible work availability preferred; organization is a 24hr operation, which at times requires individuals to work evenings, weekends, holidays and/or special events, including Black Tie & Tails.
Requirements
Essential Functions:
· Providing exemplary customer service through all interactions with the public.
· Scheduling appointments for spay/neuter and general practice services.
· Educating clients on the importance of spay/neuter and TNVR.
· Educate clients on general preventive medicine, including but not limited to, vaccines, flea and tick prevention, along with annual screening.
· Maintain thorough and accurate records.
· Clerical duties such as printing, scanning, and faxing documents.
· Checking clients in and out for surgery and general practice appointments as well as checking clients out of our ReSale Store.
· Answering incoming calls for scheduling requests, medical questions, or general inquiries, and responding to emails promptly.
· Assist with managing office and retail inventory.
