JOB DESCRIPTION
- The Billing Analyst is responsible for invoicing our direct channel customers for various plants and products. As you work with AM’s production facilities and product lines you will process customer credits, as well as identify and present ideas to streamline and improve the overall corporate billing process. Additionally, you will have a significant role in onboarding new customers accounts, including multiple steps in setting up, gathering information, gathering approvals, and ensuring a customer account is 100% ready to place orders in a timely manner.
- The Analyst role should be prepared to utilize their organizational and problem-solving skills to ultimately drive enhancement of the billing systems by identifying opportunities for improvement and areas of inefficiencies. The Analyst will have an active role in system improvement projects, leveraging technology and automation as well as providing insight for system optimization to minimize or eliminate manual tasks.
OBJECTIVES:
- Process accurate and timely invoices to our customers
- Apply rebates and other customer credits
- New account onboarding & set-up
- Identity ways to improve the process
- Become a subject matter expert with a Corporate perspective on invoicing and credits
RESPONSIBILITIES:
- Process invoices in AS400 Corporate, AS400 Windows, and BAP with matching supporting documentation.
- Resolve billing kick outs.
- Process Cancellation requests assessing customer fees as required.
- Add pallet, belt, mark-up, and custom up charge pricing to orders/invoices.
- Reconcile siding returns to the plant in BAP issuing customer credit upon return.
- Process billing credits received from accounting, the plant, warranty and customer service.
- Set up new customer accounts
- Complete month end billing close process (could require after hour or Saturday support on occasion)
- Research billing discrepancies and take action accordingly.
- Provide audit with backup documents monthly and as requested
KEY RELATIONSHIPS INCLUDE:
- Finance and Sales - process credit for warranty and returns
- Customer Service - situations that could affect customer satisfaction
- Finance - volume rebates and special credit
- IT - system controls and improvements
- Marketing – special requests
QUALIFICATIONS
- Education: Bachelor's Degree and/or equivalent work history experience
- 1-3 year work history experience in roles such as: Billing Analyst, Account Receivables, Customer Service, Finance or Accounting
- Experience using one or more CRM/ ERP systems
- SalesForce & SharePoint experience preferred
- Critical thinking, including, good requirement gathering skills, and proven problem solving skills
- Strong customer service skills
- Ability to multi-task and manage multiple projects at the same time
- Demonstrated ability to work independently and request/accept direction when needed
- Results and quality driven
- Excellent verbal and written communication skills
- Strong organization skills
- Leadership qualities, takes initiative for process/company improvement
