JOB SUMMARY:
Responsible for managing the registration process for Forest Home program guests, providing superior customer service, and fostering relationships with church group leaders, ministry partners, and organizations to enhance retention and grow the customer base.
This role involves facilitating outstanding guest experiences through all stages of the event planning process, ensuring accurate record-keeping, timely communication and collaborating with operations & program directors to deliver high-quality services.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Reservation Management
Assist church partners and groups in the reservation process by answering inquiries, providing information on available dates, accommodations, amenities, and collecting necessary forms.
Collect and maintain accurate records of reservations, ensuring all details are up-to-date and complete.
Utilize the Reservations System (i.e. CircuiTree), CRM tools (i.e. HubSpot), and project tracking software (i.e. ClickUp) to create itineraries, communication records, forms, reports, and financial options with accuracy.
Process additional paperwork, including medical consent forms, voluntary disclosure forms, and campership applications.
Create weekly checklists for events to ensure preparedness and alignment with department goals.
Customer Support
Serve as the primary contact for church partners and groups, addressing questions, concerns, and special requests.
Respond enthusiastically to all calls and emails by the next business day with timely and accurate information.
Provide training and guidance to church/group leaders on managing the reservation process to meet both their group’s and Forest Home’s needs.
Exhibit graciousness and helpfulness to guests and staff, maintaining a professional and Christ-like attitude.
Administrative Duties
Prepare guest check-in packets, including printed materials, nametags, keys, and wristbands as indicated by the registration system.
Conduct on-site check-in for groups and individual registrants for various conferences as needed. Winter events require Friday check-ins.
Follow up with group leaders and/or guests to ensure all balances are paid in full in a timely manner.
Create church rosters and pull/create keys for events as required.
Communication and Coordination
Collaborate with operations departments to advocate for guests, ensuring the highest quality of services and alignment with guest needs.
Work with the Director of Partnerships and Program Director(s) to achieve annual program attendance targets and steward the guest experience.
Identify, prioritize, and implement improvements to the reservation process to maximize efficiency.
Actively participate in staff spiritual life activities, including Staff Meetings, to support Forest Home’s mission.
Additional Responsibilities
Perform other duties as assigned to support the Reservations Department.
Maintain regular, timely attendance and flexibility to work a schedule that may include weekends.
EDUCATION and/or EXPERIENCE REQUIRED:
3+ years of experience in guest services, reservations, event coordination, or a related field.
Strong interpersonal and communication skills, with a commitment to hospitality.
Highly organized with excellent attention to detail and follow-through.
Proficient with CRM, registration, or reservation platforms.
Comfortable managing multiple tasks and timelines in a dynamic environment.
Preferred:
Experience working in a camp, retreat center, or ministry context.
Familiarity with event logistics, group housing, and guest communication best practices.
