Incorp Industries is currently seeking an HR Coordinator to be based out of our Tampa, FL office Incorp Industries provides scaffold, industrial insulation, sheet metal, asbestos abatement, industrial lead removal, abrasive blasting, and coatings services to industrial contractors and owner clients in the power generation, petrochemical, grain, pulp and paper, mining, and manufacturing industries.
The HR Coordinator- Onboarding & Claims Management plays a crucial role in supporting both the employee lifecycle and the company’s claims processes. This position is responsible for coordinating onboarding for field personnel, conducting background checks, MVRs, and drug screens, assigning and tracking employee training, maintaining compliance records, and providing general HR support. Additionally, this role serves as the primary administrator for workers’ compensation and other employee claims, ensuring accurate documentation, timely follow-up, and compliance with state and federal regulations.
Successful candidates will be highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism.
Principal Duties and Responsibilities
Onboarding & Recruitment Support
Manage the onboarding process for field personnel from offer acceptance through the employee’s first weeks, ensuring a smooth and positive experience.
Schedule, process, and track pre-employment screenings, including background checks, drug tests, and MVRs.
Assist with assigning and monitor completion of required employee training.
Partner with hiring managers to ensure new hires have the necessary resources and support.
Assist with recruitment-related activities and candidate communications.
Workers’ Compensation & Claims Management
Serve as the primary contact for all workers’ compensation and employee claim matters.
Initiate and file claims in compliance with state regulations and company procedures.
Coordinate with injured employees, managers, medical providers, insurance carriers, and third-party administrators to ensure timely claim handling and resolution.
Maintain accurate claim records and monitor case status until closure.
Support return-to-work and light-duty assignments in collaboration with management and safety teams.
Track and report claim trends to identify opportunities for prevention and cost reduction.
Assist with OSHA recordkeeping and ensure injury logs are maintained in compliance with regulations.
Compliance & Recordkeeping
Organize, maintain, and update personnel records and HRIS data.
Ensure compliance with company policies, procedures, and applicable employment laws.
Assist with internal and external HR audits as needed.
Employee Relations & HR Support
Respond to employee inquiries regarding policies, benefits, and HR processes with discretion and professionalism.
Support HR team members in various administrative and project-based tasks.
Coordinate in-person and virtual training logistics.
Requirements
Excellent organizational and time management skills.

Effective verbal and written communication skills.
Ability to handle sensitive information with discretion.
Proficiency with Microsoft Office Suite and HRIS systems (ADP preferred).
Knowledge of workers’ compensation procedures and related employment laws preferred.
Bilingual in English and Spanish strongly preferred.
Preferred Education & Experience
Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent work experience.
2+ years of HR experience, with exposure to workers’ compensation and/or claims administration.
HR certification (PHR, SHRM-CP) a plus.
Physical Demands & Work Environment
Prolonged periods sitting at a desk and working on a computer.
Ability to lift up to 15 lbs occasionally.
Monday–Friday, 7:00 a.m.–4:00 p.m., with occasional weekend or after-hours availability.
