This role is responsible for managing office engagement events, coordinating broker pipeline meetings and reports, support our Director of Brokerage with contract execution, assist with local & national operation projects and work closely with the executive leadership team to implement strategic initiatives.
The ideal candidate is strategic, growth/business orientated, keen attention to detail and ability to effectively manage multiple priorities in strict confidence. This role requires a high level of accountability, adaptability, and collaboration.
Job Description
Key responsibilities
- Coordinating broker pipeline meetings and pull pipeline reports from CRM system.
- Assist brokers with CRM updates.
- Assist with off-the-top expense management.
- Assist with MSG expense reimbursements.
- Assist with check submission.
- Support the regions Director of Brokerage with contract execution.
- Manage the NYC office engagement strategy i.e. the office Better Never settles platform event series, Employee Resource Groups (ERG) events in partnership with ERG chairs, office holiday events, industry events and office activation events etc.
- Assist with local & national operation projects and work closely with the executive leadership team to implement strategic initiatives.
- Assist AR team with requisition and supplier invoice submissions.
- Build strong trusted relationships with the executive leadership team, brokerage professionals, colleagues.
- Assist with space planning and managing accurate floor plans.
- Assis with onboarding and offboarding e.g. building pass access and deactivation, seat/office assignment.
- Assist with office moves and confirm seating plans with the Facilities team, working in conjunction with IT, and management
- Ensure corporate standards and internal company processes and systems are leveraged and adhered to
- In the unlikely absence of the office’s concierge & Executive Admins assist with duties such as concierge support.
- Support with adhoc operation duties on an as needed basis.

Background and Experience
- Bachelor’s degree required.
- 1+ years of professional services experience required.
- 1+ years of operational, events or project management experience
Competencies
- Thrives in a fast-paced and fluid environment and embraces multi-tasking diverse projects
- Experience with project and process management
- Excellent written, oral, and presentation skills
- Strong Microsoft Office Suite skills
- Knowledge of Salesforce, Workday and Expense software
- Ability to plan, organize, and manage processes.

The company will not pay less than minimum wage for this role.
