Brief Description

The Associate Director, Human Resources International is responsible for partnering with global business functions to help the business achieve their priorities and deliver the HR strategy. This role is a key collaborator with the business units as well internal HR centres of excellence. This role is a combination of operational and strategic HR. In addition to having shared responsibility of the HR mailbox this position carries out responsibilities in the following functional areas: hiring, onboarding, employee lifecycle change management, performance management, leave of absence management, benefits administration, offboarding, employee relations, policy management and employment law compliance.

Specific Job Duties

Based in the Geneva, Switzerland office with the Switzerland employee base handling all onsite HR requirements.

Hiring, Onboarding, Changes & Offboarding

  • Prepare and issue employment documents and any letters relating to contractual changes including promotion process, program changes, reduction in force, etc.
  • Managing the timely administration of the onboarding process, to liaise with IT to arrange equipment to be delivered to new starters, create personal data folders, update HR database, conduct right to work checks, reference checks, prepare the HR induction/ programme.
  • Provide advice on and ensure compliance with all legal work checks and management of all work visas to ensure the Company meets the necessary legal requirements. To keep the immigration spreadsheet regularly updated and follow up on any visa/work permit expiries.
  • To take ownership and responsibility for any immigration sponsorship license requirements and manage any intra-company transfers in collaboration with legal to review business need.
  • Conduct new hire orientation/onboarding of newly hired employees.
  • To monitor, update and extend where necessary contractor agreements for various locations within Europe.
  • Manage the timely offboarding process for leavers: calculate leave accruals (subject to country), prepare leaver letters, manage outplacement (if required) and arrange exit interviews.
  • Collaborate with HRIS and business leaders to reconcile/validate data entry to ensure data integrity and support routine reporting requests. This includes running regular reports.
  • Be able to conduct pre-screen / first stage interviews if required.

Business Partnership

  • To manage the shared mailbox daily to handle items raised and track status/ file when actioned.
  • Acting as first point of contact for all HR related queries for employees and managers.
  • To regularly update UBC Connect/ myUBCHR with changes in policies, processes and utilizing the platform to communicate information to employees by location.
  • Partner with the leadership team to understand and execute the organization's human resource and talent strategy particularly as it relates to current and future talent needs. This includes analysing trends/metrics to implement people strategy solutions and conducting stay interviews to understand their motivational needs/reasons for staying.
  • Lead and manage the people management-related agenda for different strategic business units. Identify and prepare career plans for employee growth within the organization. In conjunction with our Talent Acquisition partners, will recommend the best talent to appropriate departments in the company to increase employee retention and engagement.
  • Drive and oversee staff development initiatives, fostering a culture of continuous learning and professional growth within the organization. Develop training materials and performance management programs to help ensure employees understand their job responsibilities.
  • Collaborate with business segments on the review of existing job descriptions, job families and natural progression of the role with their corresponding salary grade levels, compensation strategy, and adherence to the company’s promotion policy and established guidelines.
  • Support company initiatives and activities to deliver effective employee and manager training. May support company-sponsored employee events as directed.
  • Assist with HR communications to ensure all employees understand company updates, policy updates and recognition programs.
  • Manage and lead UBC’s continuous performance review cycle including areas of focus such as:
    • employee/manager training, goal initiation, succession planning/talent reviews, calibrations and compensation planning as appropriate.
    • Running monthly campaigns of goal setting and performance related initiatives with quarterly audits provided to business leaders for review and action planning.
  • Lead change initiatives as needed. This could include global project initiatives such as new policy development, process improvement, succession planning strategies, etc.
  • Performance Review annual process which includes leading calibration sessions of rating review, compensation planning and execution of communication strategies.
Payroll, Benefits And Leave Of Absence Management

  • Coordinate monthly payroll changes and notify payroll of all changes including starters, leavers including any absence, retention, referral, spot bonus items.
  • Receive all confidential HR post onsite in Geneva and take the required action e.g. benefit processing/ invoice management/ visa management
  • To be back up to manage payrolls for the following countries: France, Germany, Italy, Netherlands, Norway, Spain, Switzerland and UK; and apply local payroll actions such as retirement and severance payments. Be able to submit monthly pension contributions and benefit requirements for Europe.
  • To oversee and maintain ADP leave of absence, setting up a new starter and closely monitoring absences and leave. Ensuring that appropriate HR and management support/follow up takes place.
  • Ensure timely benefit enrolment for new hires, updates for changes and removal for leavers.
  • To liaise closely with external benefit brokers by country to proactively manage the upcoming benefit renewals. Exploring the change in cover and cost and ultimately ensure timely renewals occur.
  • Assist in the annual performance review process, which includes a salary and bonus review cycle.

Legal, Policy Management And Employee Relations Management

  • In partnership with our Employee Relations Lead, guide management on employee relations and performance management (HR Business Partner Team to handle first line items including, performance management, absence management and first stage complaints. Global Employee Relations Lead to handle investigations and more complex/higher risk employee matters)
  • Proactively manage absence cases, provide advice on absence related matters: i.e., maternity, paternity, sickness by country. Manage flexible working requests, and support around policies and procedures. Handle occupational health or insurance claims as needed.
  • Maintain compliance with country, federal and state regulations as applicable on employment matters. Research updates and share knowledge with the broader team.
  • Support and partner as needed with employee relations team.
  • Drive company compliance with policies and processes to ensure all company HR policies are applied consistently across the organization.
  • Take a lead role in ensuring the function is audit compliant, ensuring appropriate processes, documentation and controls are in place.

Team Collaboration

  • Be fully trained up and able to conduct the same remit for the whole of Europe to ensure there is back up in place across the wider team
  • Assist with UBC Diversity, Equity, and Inclusion programs including all employee engagement survey action planning and understanding of results.
  • Collaborate with Compensation and Benefits to support UBC’s promotion process to review market data, internal equity and make recommendations for rewards and retention items.
  • Take a lead on project managing items as required e.g. development of a new global policy.
  • Perform other duties as required and assigned.

Desired Skills And Qualifications

  • Bachelor’s degree and significant Human Resources experience
  • Knowledge of European employment law including Switzerland and France (US and Canada a plus)
  • Experience in payroll
  • French speaking and additional languages such as German, Italian, Spanish would be advantageous
  • Significant experience of managing HR processes/ procedures/ policies ideally in a life sciences industry
  • Experience with ADP and ADP recruitment module, a plus (Also Workday a plus)
  • Computer proficiency in Outlook, Word, Excel, and PowerPoint
  • Ability to maintain a prominent level of confidentiality and attention to detail.
  • Must have high initiative, integrity, strong work ethic, excellent communication, and analytical skills.
  • Excellent time & project management, organizational skills and enjoy working in a demanding environment.
  • Able and willing to work well in a diverse environment.
  • Critical thinking skills & working effectively in a matrix organizations/team at all levels.
  • SHRM-CP / HRCI-PHR/ CIPD certification preferred.
  • Ability to prioritise and work independently and within a team.
