About ITE:

ITE Management, a leading investment manager specializing in the transportation sector, is looking for an experienced BDIR Coordinator to join its dynamic and rapidly growing BDIR team in New York. Founded in 2014, ITE targets real asset investment opportunities that are cash yielding with downside protection, and benefit from a team with deep, longstanding relationships and financial and operating expertise.  Today, the firm manages over $11bn of assets globally across rail, intermodal, aviation, and emerging technology strategies with office locations in New York City (HQ), Chicago, St. Louis and London.

Position Summary:

We are seeking a highly organized, service-oriented Office Manager to oversee the day-to-day operations of our New York office (60 employees). This individual will ensure the office runs smoothly, efficiently, and provides a welcoming, high-quality experience for employees and visitors.

This role is hands-on and execution-focused, with responsibility for office operations, vendor coordination, and workplace experience. The Office Manager will serve as the primary point of contact for all in-office needs and play a key role in supporting team productivity and culture.

Requirements

Key Responsibilities:

Office Operations & Experience

  • Maintain a clean, organized, and fully functional office environment
  • Ensure conference rooms, kitchens, and shared spaces are stocked and well-maintained
  • Manage office inventory including supplies, equipment, and pantry items
  • Oversee mail, deliveries, and general office logistics
  • Support a high-quality in-office experience, including employee amenities and hospitality

Vendor Coordination

  • Manage relationships with office vendors (cleaning, maintenance, catering, supplies, etc.)
  • Coordinate routine services and respond to day-to-day facility issues
  • Ensure vendors meet service expectations and resolve issues as they arise

Facilities Coordination (NYC only)

  • Act as liaison with building management for maintenance, repairs, and access
  • Coordinate fixes for HVAC, lighting, and general office issues
  • Manage access control, badges, and office security processes
  • Support space planning, seating arrangements, and desk moves

Team & Operational Support

  • Partner with HR and IT to support onboarding and offboarding (desk setup, equipment coordination)
  • Assist with planning and execution of internal events, meetings, and visitors
  • Communicate office updates (building notices, closures, etc.) to employees
  • Support day-to-day operational needs across teams

Health & Safety

  • Ensure compliance with building and workplace safety protocols
  • Support emergency procedures and act as point person for office-related incidents

Qualifications:

  • 5–10 years of experience in office management or workplace operations
  • Strong organizational and problem-solving skills with attention to detail
  • Excellent interpersonal and communication skills
  • Proven ability to manage vendors and handle multiple priorities
  • Service-oriented mindset with a proactive, hands-on approach
  • Ability to operate effectively in a fast-paced, professional environment

 

Salary Range:

Estimated base salary range for this position is: $80,000-$120,000. Employees may also be eligible for an annual discretionary incentive compensation award. Actual base salary may vary based upon, but not limited to, relevant skills, experience, qualifications, and geographic location.
