Apogee Global RMS is seeking an exceptional Executive Assistant to support our Founder & Principal Advisor in a fast‑paced, high‑growth environment. This is a high‑visibility, high‑trust role for a disciplined, proactive, and highly polished professional who operates with absolute discretion, anticipates needs before they arise, and consistently upholds executive‑level standards. The ideal candidate thrives in a hybrid environment and brings the judgment, presence, and precision required to support a Founder.
About the Role:
The Executive Assistant will serve as a strategic partner to the Founder & Principal Advisor, ensuring seamless operations, tight communication rhythms, and strong coordination across internal and external stakeholders. This individual will manage complex scheduling, prepare executive‑ready materials, and support high‑impact initiatives that drive Apogee’s continued growth.
Key Responsibilities:
- Manage the Founder/Principal Advisor’s calendar, priorities, and meeting flow with accuracy, urgency, and foresight.
- Support in‑person activities in the San Francisco Bay Area Region, including but not limited to, Apogee Podcast Recordings, Dinner & Networking Events, Sponsored Events, and other assignments as directed by the Founder.
- Prepare executive‑level communications, briefing documents, and presentations.
- Drive follow‑ups, action tracking, and operational discipline across leadership initiatives.
- Coordinate travel, logistics, and onsite/offsite meetings with precision.
- Handle sensitive information with the highest level of confidentiality and professionalism.
- Serve as a polished liaison between the Founder/Principal Advisor and clients, partners, and internal teams.
- Support special projects, strategic initiatives, and high‑stakes engagements.
- Ensure smooth hybrid operations, including in‑office coordination in San Jose.
Requirements
- 5+ years supporting a Founder, CEO, or Senior Executives in a fast‑paced environment.
- Exceptional organizational skills, attention to detail, and follow‑through.
- Demonstrated experience supporting senior C‑suite executives with a strong record of excellence, discretion, professionalism and high‑caliber execution.
- Strong written and verbal communication skills with executive‑level polish.
- Ability to anticipate needs, solve problems proactively, and manage competing priorities.
- High emotional intelligence, discretion, and sound judgment.
- Proficiency in Google Workspace, scheduling tools, and collaboration platforms.
- Experience in consulting, technology, HR, or high‑growth environments is highly preferred.
Work Model :
- Hybrid role based in San Jose, California
- In‑office presence required for key meetings, events, and operational needs.
