Definition and Purpose

The Assistant Director—Recreational Programs & Facility Operations supports the overall operation, programming, and strategic direction for ASI on the Solano campus. This position provides leadership in facility oversight, aquatics, intramural sports, fitness and wellness programming, membership and rental services, and staff development. The role is responsible for ensuring a safe, engaging, and inclusive environment for participants while supporting daily operations, long-term planning, and compliance with institutional, state, and ASI policies.

This position plays a key leadership role within the Physical Education and Aquatics Center (PEAC) and serves as a primary liaison with campus and community partners for facility operations, maintenance, reservations, and safety.

This position is based at the Cal Poly Maritime Academy on the Cal Poly Solano Campus in Vallejo, CA.

Requirements

Educational and Qualifying Experience, Skills, Licenses, Credentials

Educational/License/Credential Requirements

  • Graduation from a four-year college or university. 
  • Master’s degree preferred.
  • Current American Red Cross certification in the following: Adult CPR, AED, and First. Aid is required within 30 days of hire, training provided by ASI. 

Experience Requirements

  • Minimum five (5) years of experience demonstrating the ability to perform the essential functions of the job, preferably in a college or university setting.  
  • Supervisory experience required.
  • Experience in budgeting and fiscal management.
  • Experience coordinating recreational programming for students, related to areas such as fitness, wellness, personal training, intramurals, aquatics, informal recreation, etc.
  • Demonstrated ability to collaborate with campus partners and external organizations.

Knowledge/Skill Requirements

  • Strong leadership skills, with the ability to coach, mentor, and develop staff.
  • Excellent interpersonal, written, and verbal communication skills.

Work Environment & Other Requirements

  • Position is housed in the PEAC and requires regular movement across recreational and aquatic facilities.
  • Must be able to work occasional evenings, weekends, and special events.

Essential Duties and Responsibilities

Supervisory Responsibilities

  • Directly supervise one full-time staff: Assistant Coordinator—Student Programs and Administrative Operations.
  • Directly supervise the following student and intermittent positions on the Solano campus: Frontline Services Student Assistant, Facility Supervisors, Lifeguards, Fitness Instructors, and the Student Manager—Recreational Sports Programs and Facility Operations.
  • Provide mentorship and professional development to direct reports and other ASI staff.
  • Ensure alignment of team operations with organizational priorities and compliance requirements.

Facility Oversight

  • Oversee daily facility operations for the PEAC, Bodnar Field, Sport Court, Aquatics areas, Morrow Cove, and associated spaces.
  • Implement and uphold all facility policies and procedures to ensure safe and efficient operations.
  • Coordinate short-term and long-term facility needs, including custodial and maintenance services, with campus partners.
  • Conduct annual facility walk-throughs and monthly safety inspections, including fire extinguisher checks and evacuation drills.
  • Manage facility maintenance and equipment repair processes, including submitting and tracking maintenance requests.
  • Support Fusion programming and maintenance relevant to facility access, memberships, and reservations.

Programming & Services Management

  • Coordinate daily programming and service delivery across intramurals, aquatics, fitness/wellness, membership services, pro shop, and rental center operations.
  • Develop, coordinate, and assess intramural sports, fitness, wellness, and aquatics programming.
  • Ensure effective coordination of outdoor gear rental reservations, pro shop resale items, and program sales.
  • Support innovative fitness, wellness, and recreational experiences that meet diverse student needs.
  • Monitor program attendance, trends, and participant feedback to inform continuous improvement.
  • Oversee membership services operations, point-of-sale procedures, and patron communication.

Safety & Risk Management

  • Lead safety initiatives, including staff training, facility emergency procedures, and compliance with safety regulations.
  • Partner with the Safety Committee and relevant campus offices to ensure safe environments across all recreation spaces and programs.
  • Coordinate lifeguard operations, safety protocols, and aquatic risk management.
  • Maintain safety documentation and assist in incident response and reporting.
  • Ensure programs operate in compliance with ASI and industry standards and risk-management guidelines.  
  • Identify and mitigate potential risks related to cash handling, program operations, and member access.

Policy, Planning & Representation

  • Stay current with industry standards and recommend updates to policies, programs, and operational procedures.
  • Represent ASI in meetings with campus partners, committees, and external organizations.

Administrative & Financial Responsibilities

  • Assist with budgeting, purchasing, and financial oversight related to programming, student staffing, and resale items for the pro shop and rental center.
  • Maintain accurate records related to facility operations, equipment inventory, and program data.
  • Manage memberships, program sales, and relevant Fusion database reporting.
  • Hold signing authority consistent with ASI policies and position classification.
  • Oversee and coordinate eligible membership access to the PEAC.

Planning & Strategic Initiatives

  • Lead short- and long-term planning for required initiatives.
  • Contribute to strategic planning that spans 3–5 years in workforce development and operational improvements.
  • Support campus and organization-wide change initiatives.

Collaboration & Representation

  • Serve as a primary liaison for facility operations on the Cal Poly Solano campus.
  • Participate in relevant committees, including the Safety Committee and ASI’s Student Staff Recognition Committee.
  • Collaborate with internal and external stakeholders to align practices and share resources.

Other Duties & Responsibilities

  • The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment.
  • Other duties as assigned.
