Description
Valley Fire Protection Systems, LLC is seeking a Sales Support Coordinator to join our dedicated team. This position is responsible for comprehensive administrative and operational support to the Sales Department, ensuring an efficient, organized, and customer‑focused sales process. In addition to primary sales responsibilities, this role provides supplemental administrative support to the Company when needed. Exceptional customer service, strong communication skills, and the ability to manage multiple priorities are essential to this position.

Job Description:
- Support individual members of the sales team with callbacks, bid results, on-site contractor visits, and project assistance. Create and process sales orders in a timely fashion.
- Handle all administrative duties for the sales organization and scheduling of sales meetings, including preparing agendas, taking minutes, plotting job documents, and maintaining the bid log for all C & D jobs.
- Update the bid and walk through calendars (Building Connected/Outlook), bidding doc folders, and secure bonds as requested for all jobs.
- Maintain an organized and accessible file system (electronic and paper copy) for administrative and sales professionals.
- Conduct all interactions professionally as a liaison between the organization and external customers.
- Create and maintain safety compliance documents.
- Must be highly organized and able to multitask on several projects at a time.
- Foster and maintain positive relationships with internal departments, customers, and all levels of management.
- Set up new contract jobs in company systems, ensuring all required documentation and details are accurately entered.
- Route contracts to appropriate internal departments and external partners for review, signatures, and processing.
- Maintain organized records of all contract documents and status updates.
- Track and follow up on outstanding contracts to ensure timely completion.
- Back-up for front desk including but not limited to answering phones.
- Duties as needed.
Requirements
- High school diploma/GED required, Associate Degree in Business or related field preferred
- Two to five (2-5) years progressive, relevant sales support work experience
- Rigorous analytical skills and persuasive leadership skills
- Strong verbal and written communication skills
- Strong interpersonal skills
- Excellent critical thinking and judgment
- A bias toward action on behalf of the customer’s needs
- Value honesty and transparency with team members and customers
- Maturity to accept direction, confidence to give direction

- Possess a valid driver’s license

Pay: From $22.00 - $25.00 per hour
