The Dispatcher will handle a variety of branch-specific tasks, along with responsibilities that support the company as a whole. Tasks include answering incoming calls, relaying messages, updating notes in databases, and dispatching assignments. This role requires consistent, open communication with branch and company employees, managers, and customers. The Dispatcher reports directly to the local Branch Manager.
CORE DUTIES AND RESPONSIBILITIES:
Core duties include the following. Other duties may be assigned.
- Promptly answer incoming calls through the call flow program with the highest level of customer service.
- Transfer calls from incoming clients, Third Party Administrators, and adjusters to the appropriate project manager or department.
- Accept/decline “call-in” requests in accordance with company processes and guidelines.
- Update notes in company databases accurately and promptly.
- Dispatch assignments and direct-sale leads to emergency service personnel to ensure expedited contact.
- Update external databases promptly to maintain compliance.
- Audit databases to confirm data accuracy and consistency.
Requirements
THE IDEAL CANDIDATE:
- High school diploma required.
- Six months to one year of related customer service experience and/or training, or equivalent combination of education and experience.
- Must have a pleasant, professional manner when interacting with coworkers and customers.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to speak effectively with customers and employees.
- Proficiency in databases, Internet, spreadsheet, and word processing software.
