As an Executive Assistant at Vinmar International, you will play a pivotal role in ensuring smooth office operations and providing support to our leadership team. Your responsibilities will include a wide range of administrative tasks, from managing schedules to assisting with travel arrangements. Key Responsibilities:
- Provide administrative support to senior management, including calendar management, meeting scheduling, and correspondence handling.
- Assist with the preparation and processing of expense reports and financial documentation.
- Maintain filing systems and documentation, ensuring all information is organized and easily accessible.
- Act as the point of contact for incoming communications, handling phone calls and inquiries professionally.
- Coordinate and arrange travel itineraries, accommodations, and logistics for staff and visitors.
- Manage office supplies and inventory, ensuring that the office is well-stocked and organized.
- Support internal and external meetings, preparing materials, and ensuring meeting rooms are ready.
- Contribute to team projects and initiatives as needed.
Requirements
- Proven experience as an administrative assistant or similar role, preferably in a corporate environment.
- Excellent organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to prioritize tasks and manage time effectively.
- Demonstrated ability to handle confidential information with integrity.
- Experience with travel arrangements and expense reporting is a plus.
- Strong interpersonal skills and a collaborative team spirit.
