Position Summary: As the first point of contact for our customers, the Receptionist plays a key role in delivering the welcoming, customer-focused experience that Art City Auto Body is known for. You’ll manage communications, scheduling, and coordination — helping to ensure each repair flows smoothly from drop-off through completion.
Key Responsibilities:
· Greet customers in person and by phone; answer inquiries about services, pricing, scheduling, and insurance claims.
· Accept photos from customers requesting estimates (via online estimate requests) and log their information accurately. Art City Auto Body+1
· Schedule vehicle drop-offs and pick-ups, manage job status updates, and coordinate repair timelines.
· Help customers with insurance paperwork — coordinate with insurance companies (Art City works with all major insurance providers). Art City Auto Body+1
· Maintain front-desk organization, ensure customer waiting area is clean and welcoming, and perform basic administrative tasks (filing, phone messages, follow-up calls).
· Collaborate with technicians and management to update customers on repair progress or special requests.
· Learn about Auto Body and Collision Repair services at Art City (paint jobs, dent/scratch repair, glass replacement, UTV/ATV/RV repairs, ADAS calibration) so you can answer basic questions and direct customers appropriately. Art City Auto Body+1
Requirements
· Previous experience in customer service, reception, or administrative work preferred (auto-body shop experience a plus but not required)
· Excellent communication skills—both verbal and written
· Ability to multitask: manage phone calls, customer visits, online requests, scheduling, and paperwork
· Basic computer literacy (scheduling software, email, phone system)
· Friendly, professional demeanor and strong interpersonal skills
· Reliable attendance and punctuality
