Role Overview

As our Aircraft Sales Transaction Coordinator, you’ll be the organizational engine that keeps complex aircraft deals moving. You’ll manage communication, documentation, timelines, and milestones across Sales, Technical, Research, Marketing, and external partners.

Core Responsibilities

1. Project Administration (30%)

  • Maintain project trackers, internal checklists, and client files.
  • Create and organize digital project folders.
  • Schedule internal and external calls; prepare agendas and summaries.
  • Maintain ClickUp project records and internal forms.
  • Manage version control for proposals, LOIs, and agreements.

2. Documentation & Compliance (25%)

  • Support preparation and review of engagement agreements.
  • Manage document routing and signature collection (DocuSign).
  • Assist with FAA registration and escrow processes.
  • Track required documents and flag missing items.

3. Coordination & Communication (25%)

  • Serve as the point of contact between Sales, Technical, Research, and Marketing.
  • Capture call notes and follow-ups in project systems.
  • Monitor timelines and notify teams of upcoming deadlines.
  • Communicate with clients and third-party vendors as needed.

4. Data Management & Reporting (10%)

  • Support creation of weekly project status updates.
  • Track invoices and retainer payments; coordinate with G&A.

5. Team & Process Development (10%)

  • Recommend improvements to templates, checklists, and workflows.
  • Participate in weekly and quarterly team meetings.
  • Uphold OGARAJETS’ core values in all interactions.

Requirements

  • Required Qualifications
    • 1–3+ years of experience in project coordination, operations, logistics, client service, or a similar role involving multi-step workflows.
    • Demonstrated ability to manage documents, deadlines, and detailed processes with accuracy.
    • Strong written and verbal communication skills, with experience working across multiple teams or stakeholders.
    • Proficiency in Microsoft Office and Google Workspace.
    • Ability to work on-site in Atlanta, GA (5 days/week) and manage responsibilities in a fast-paced environment.
    • Comfortable communicating professionally with clients, vendors, and internal teams by phone and email.

  • Preferred Qualifications
    • Bachelor’s degree in Business, Aviation Management, or a related field.
    • Experience supporting transactions, compliance workflows, or work involving regulated documentation.
    • Exposure to aviation, real estate, or other asset-based industries (helpful but not required).
    • Familiarity with ClickUp or another project management tool.
