The Assistant Facilities Manger will play a pivotal role in creating a positive and efficient work environment for our employees. This position is responsible for supporting and coordinating various facility maintenance and onsite meeting and events. This role involves collaboration with multiple teams to enhance the overall workplace experience. In addition, you will support the Facility Manager with daily operations as needed.
Responsibilities
- Develop daily dispatch and efficient work planning for facilities services team.
- Maintain all work orders, including progress, completion status and any issues encountered.
- Prioritize work orders to be performed in a timely manner for multiple maintenance groups.
- Manage relationships with external vendors to ensure quality and cost effectiveness.
- Monitor escalations and repeat service calls.
- Generate corrective and preventative work requests in “Nuvolo” work management system.
- Communicate work orders to technicians and resolve scheduling issues.
- Maintain operational files.
- Assist with lab environment monitoring.
- Assist Vendor escorting as needed.
- Assist with quality inspections and occasional work order follow-up.
- Assist with FMI Audits.
- Assist with ordering materials to support building operations.
- Support work management training and continuous improvement.
- Provide administrative support to Facilities Manager.
- Support and coordinate company events, activities, and programs, fostering a sense of community and teamwork.
- Oversee the set-up of event spaces according to customer requirements, including arranging chairs, tables, and power.
- Act as a liaison between employees and management, gathering feedback on workplace experience and implementing improvements as needed.
- Maintain Clear communication channels to update event requesters on the status of their work orders in a timely and professional manner.
- Manage Assistant Events Coordinator.
- Act as the acting FM when FM is out of office.
- Act as a backup for processing
- Available to assist with emergency situations as needed.
- Other duties as assigned.
Qualifications
- Proven experience in workplace management, Facilities management and employee engagement, or related roles.
- Strong customer service skills, ensuring a high level of client satisfaction.
- Strong interpersonal and communication skills.
- Excellent written and verbal communication skills.
- Ability to work independently with minimal supervision and as part of a collaborative team.
- Proficiency in Microsoft Office and calendar management tools.
- Detail-oriented with excellent organizational and multitasking abilities.
- Ability to work collaboratively in a dynamic and fast-paced environment.
- Be able to lift 50lbs
