Summary/Objective
The HR Administrator supports day-to-day Human Resources operations and ensures compliance with Michigan employment laws, company policies, and federal regulatory standards. This role is responsible for accurately compiling, maintaining, and safeguarding all personnel records. Duties include recording essential employee data such as contact information, compensation details, attendance, absences, performance documentation, disciplinary actions, and separation reasons. The HR Administrator prepares, files, and retrieves employment records and provides information only to authorized individuals in accordance with state and federal confidentiality requirements.

 

Essential Functions

  1. Process, verify, and maintain personnel-related documentation, including staffing, recruitment, training, grievances, performance evaluations, job classifications, and employee leaves of absence (including PMLA, FMLA, and company leave policies).
  2. Explain company personnel policies, benefits, and procedures to employees and job applicants.
  3. Maintain and update the HRIS (ADP Workday) database for each employee, including information such as new hires, earnings, attendance, leaves, and date/reason for terminations, ensuring accuracy and confidentiality.
  4. Generate weekly and monthly reports, including time and attendance; track employee and temporary employee points; monitor new hires and terminations; and administer disciplinary documentation in accordance with company policy.
  5. Answer questions regarding job requirements, eligibility, salaries, benefits, leave policies, and other employment-related information.
  6. Request and verify information from law enforcement (when Legally permissible), previous employers, and references to determine applicants' employment acceptability in compliance with FCRA and Michigan hiring regulations.
  7. Process and review employment applications to evaluate qualifications and determine applicant eligibility.
  8. Coordinate advertising or posting job vacancies and notify eligible or internal candidates of position availability.
  9. Process and review employment applications to evaluate qualifications or eligibility of applicants.
  10. Source and screen applicants meet specified job requirements and refer qualified candidates to hiring managers and schedule onsite or virtual interviews
  11. Inform job applicants of their hiring status, including selection, rejection, or further steps in the hiring process.
  12. Retrieve information from personnel files for authorized persons and organizations only, ensuring compliance with confidentiality, Michigan record retention requirements, and FCRA.
  13. Administer and score applicant and employee assessments (aptitude, personality, or skills evaluations) in accordance with validated and job-related criteria.
  14. Prepare badges, passes, and identification cards, and assist with security-related procedures.
  15. Coordinate in-house and external training activities, including scheduling, sending notices, and tracking completion.
  16. Maintain compliance with federal and state regulations concerning employment, labor laws, safety (MIOSHA), wage and hour, and company policies.
  17. Handle and maintain the accuracy of each department’s training records, sending reminders and assisting department heads with proper completion and documentation.

Work Environment

  1. This job operates in a professional office environment. This role routinely involves standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
  2. Must be 18 years or older

 

Physical Demands

While performing the duties of this job, the employee is regularly required to communicate, both verbally and through active listening. The role is primarily sedentary; however, some physical activity is required for filing and general office tasks. This includes lifting and carrying files, opening and closing filing cabinets, and bending, reaching, or standing on a stool as needed. Lifting, bending, and reaching overhead are common physical requirements of the position.

 

Travel 

Little to no travel is expected for this position.

 

Required Education and Experience

Associate’s degree in human resources or related field and 2+ years Human Resource experience.
