If you're highly organized, detail-oriented, and thrive in a dynamic environment, Regions Hospital/RHSC is seeking a highly motivated Program Associate to join our team Graduate Medical Education (GME) team. 

The Program Associate, Graduate Medical Education (GME) is responsible for the overall administration of the Hand Fellowship and the Foot & Ankle Residency ensuring full compliance with ACGME and CPME accreditation policies and institutional requirements. This position works in close partnership with the physician Program Directors and faculty leadership to oversee day-to-day program operations, trainee education, and continuous improvement. 

The Program Associate performs graduate education planning, implementation and coordination for all activities involving medical students, residents, and fellows. This includes overseeing all compliance documentation, coordinating rotation schedules, and scheduling all graduate education conferences. The role is also responsible for orientation, administration, and evaluation of all trainees.

Additionally, the Program Associate serves as a key liaison, facilitating communication between faculty, residents, and external stakeholders while managing internal and external program relations. Demonstrates Service Excellence at all times. Other duties as assigned.

The position requires a comprehensive and detailed understanding of national accreditation policies and hospital policies, and a high degree of initiative, organization and independent judgment. 

Key Responsibilities:

  • Partner with Program Directors and faculty to manage day-to-day operations of the Hand Fellowship and Foot & Ankle Residency programs.
  • Maintain ongoing accreditation readiness by preparing and submitting ACGME, CPME, and institutional reports, data, and site visit documentation.
  • Monitor trainee and program compliance with policies, duty hours, evaluations, and certification requirements.
  • Coordinate trainee recruitment, onboarding, orientation, scheduling, and graduation processes.
  • Develop and manage rotation schedules, educational conferences, and curriculum calendars.
  • Maintain trainee records and accreditation data.
  • Support annual program evaluation, surveys, and continuous improvement initiatives.
  • Collaborate with the central GME Office, HR, IT, and Finance to ensure alignment with system processes and requirements.
  • Analyze workflows, recommend improvements, and support long-range planning and project development.
  • Demonstrate Service Excellence and uphold HealthPartners values in all interactions.

Knowledge, Skills and Abilities:

  • Strong organizational, communication, and interpersonal skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Work schedule: FTE 1.0 (40 hrs. weekly), Monday-Friday, Day Shift

Required Qualifications:

Education: Bachelor’s degree or applicable experience in lieu of degree.

Experience: 3 years’ experience in medical or administrative area. 

Strong organizational, communication, and interpersonal skills.

Preferred Qualifications:

Experience: Previous medical education experience with knowledge of residency/fellowship programs strongly preferred.

Licensure/ Registration/ Certification: Notary public preferred but not required.
