MISSION

The mission of Ravenswood Family Health Network (RFHN) is to improve the health of the community by providing culturally sensitive, integrated primary and preventative health care to all, regardless of ability to pay or immigration status, and collaborating with community partners to address the social determinants of health.

Ravenswood Family Dentistry (RFD) is a dental clinic located in East Palo Alto, Redwood City and Satellite Locations on the Mobile Van, the Primary School and the operating room.  The Initial training will be provided at the East Palo Alto Location.   We offer dental care to people of all ages, regardless of their ability to pay. As a multi-cultural community dental clinic, our goal is to provide excellent comprehensive dental care to our patients and promote oral health.

 

POSITION SUMMARY

The Dental Clinic Supervisor is responsible for overseeing the daily operations of the dental clinic to ensure that service delivery operates cost effectively, efficiently, and delivers high quality health care.  Responsible for overseeing front desk staff, dental assistants, and sterilization technicians.  Assists with recruitment, orientation, training, and performance evaluation of staff under their direction to ensure adherence to all RFHN policies and standards.  Additionally, the Dental Clinic Supervisor ensures that RFHN is meeting health care objectives for grants and contracts and that RFHN remains in compliance with local, state and federal laws and regulations related to operating a community health center.  

 

Supervision (40%):

  1. Responsible for the effective operational delivery of clinical services in the dental clinic by ensuring adequate staffing, supplies and implementing current infection control protocols.
  2. Provides day to day supervision and guidance to Front Desk Receptionists, Registered Dental Assistant, Dental Assistants, sterilization technicians and other staff and volunteers, to ensure efficient and effective delivery of patient services.
  3. Supervises Front Office operations, including patient scheduling, check-in, registration, cancellations, creating scheduling template, treatment planning, and reminders.
  4. Collaborates with the Department Operations Manager to provide guidance to staff in achieving performance targets.
  5. In partnership with the Dental Operations Manager, the Dental Clinic Supervisor manages the orientation, training, performance, and compliance of dental support staff to ensure operational efficiency and high-quality patient care.
  6. Leads daily huddles, weekly group meetings, and monthly one-on-one meetings with dental support staff to review performance, address operational issues, discuss improvement activities, and reinforce policies and procedures.
  7. Delegates and monitors work assignments to maintain balanced workloads and ensure completion of assigned responsibilities.
  8. Provides support and coverage as needed to ensure patient care is delivered and clinic operations run smoothly.
  9. Provides coaching, guidance, and constructive feedback to staff; conducts performance evaluations in partnership with the Dental Operations manager; identifies professional development opportunities; addresses performance issues promptly and keeps the Dental Operations Manager informed of these matters; and recognizes staff achievements.

 

Operations (40%)

  1. Support and helps enhance daily dental clinic operations in collaboration with the Dental Operations Manager, ensuring efficiency, high-quality service delivery, and financial sustainability.
  2. Ensures that all patients are treated in a timely, professional and courteous manner that promotes customer satisfaction.
  3. Identifies and communicates employee and patient safety needs to the Dental Operations Manager or Chief Dental Officer, providing recommendations as appropriate.
  4. Actively manages daily efficient dental front and back office patient flow, to meet cycle time goals in a culturally competent, professional and courteous manner that promotes patient satisfaction.
  5. Creates and coordinates provider and dental assistant schedules to ensure, efficient workflow, and patient care delivery.
  6. Leads the coordination and implementation of telephone and walk-in triage systems, clinic emergency procedures, referral follow-up, and case management programs, ensuring staff are properly trained and protocols are consistently followed.
  7. Orders and maintains dental supply inventory by monitoring stock levels, approving orders, verifying deliveries, and ensuring organized access to maintain uninterrupted patient care and operational efficiency.
  8. Collaborates with the Facilities and IT Departments to ensure that all workstations, IT systems, and dental equipment are properly maintained and repaired in a timely manner, supporting seamless clinic operations.
  9. Manages and enforces infection prevention and control programs, ensuring that policies and plans are implemented effectively and in compliance with established standards.
  10. Ensures full compliance with infection control policies and procedures by monitoring staff adherence and confirming completion of all required testing, including spore tests, water testing, and waterline treatments.
  11. Conducts and verifies weekly audits of sterilization processes to ensure instrument integrity and adherence to infection control standards.
  12. Promotes employee and patient safety needs, communicating these needs with recommendations, as appropriate, to the Dental Operations Manager or Chief Dental Officer.
  13. Monitors and resolves patient complaints by reviewing, documenting, and resolving issues in accordance with clinic policies, ensuring timely and effective communication and service recovery.
  14. Monitors and evaluates translation needs between providers and patients, identifying gaps and implementing process improvements to enhance communication and patient experience.
 

Administrative (10%)

  1. Meets regularly with the Dental Operations Manager, Chief Dental Officer, and other members of Leadership as directed.
  2. Helps establish/implement goals, objectives, policies, procedures and systems for assigned administrative areas. 
  3. Participates in the planning, development and implementation of system improvements.
  4. Participates in planning and goal setting for the clinic efficiency.
  5. Participates in Total Quality Management (TQM) efforts.
  6. Manages and maintains payment policies to uphold the practice’s financial integrity.
  7. Understands dental benefit plans and educates patients on their coverage. Assists with collections protocol for outstanding balances. Assists Chief Dental Officer and Operations Manager in monitoring patient utilization to meet RFHC goals.
  8. Performs other duties as assigned and requested.
 

General Duties (10%)

  1. Fosters an environment that promotes trust and cooperation among patients and staff; maintains strictest confidentiality concerning all patient and employee information.
  2. Promotes and exemplifies in action, the mission, goals, policies, procedures and principles of RFHN to supervisees and other clinic staff.
  3. Participates in outreach activities, agency advocacy, and serves on ad hoc committees, as requested.
  4. Attends RFHN staff retreats.

Qualifications


QUALIFICATIONS

  • A minimum of three (3) years of previous lead or supervisory experience in a dental clinic or community health center, or transferable on-the-job experience as an RDA, Dental Hygienist, Billing Specialist, or Front Desk staff is required.
  • A bachelor’s degree in Health or Business Administration is highly desirable.
  • Ability to communicate effectively both verbally and in writing in a professional manner; Spanish language proficiency highly preferred to facilitate communication with patients and employees.
  • Computer literacy required; familiarity with the use of Microsoft Windows, Word, Excel, Outlook is required and EPIC experience is highly desirable. 
  • Experience with the implementation and utilization of electronic practice management systems; knowledge of the principles of practice management systems required. 
  • Demonstrated knowledge and experience in the effective and efficient delivery of dental outpatient clinic operations.
  • Ability to take initiative and to exercise independent and sensible judgment; demonstrates decision making and problem-solving expertise. 
  • Ability to provide proactive, positive, calm and overall effective leadership for the dental clinic staff in the delivery of day to day back office clinic services.
  • Demonstrated ability to motivate, supervise, train and work respectfully and effectively with a culturally diverse clinic staff.
  • Ability to collaborate and work effectively with the management team, patients, the public, community members and external agencies. 
  • Must adhere to standards of confidentiality.
  • Up to date with COVID-19 vaccines per current CDC guidelines strongly recommended.

 

The salary range for this position is $72,800 to $90,000 annually.  However, the final base salary will be determined upon a number of individualized factors such as (but not limited to) the scope and responsibilities of the position, job-related knowledge, skills, experience, education and certification levels, and departmental budget. We also consider internal equity with our current employees when making final offers.
