About the Department
Position Duties
Minimum Qualifications
- Accurately processes invoices with regard to the accounting period, invoice date, payment terms, and provide an accurate description of services rendered and whether or not the transaction is taxable.
- Ensures purchase orders have appropriate documentation/authorization.
- Enters invoice information into computer database, including verifying totals.
- Generates, proofs and prints checks for contractors and vendors.
- Processes and reconciles credit card accounts.
- Obtains and tracks proper authorization for all disbursements.
- Maintains copies of checks paid to vendors or individuals, with supporting documentation.
- Ensures proper accounting codes are used for transactions.
- Reconciles vendor statements and works with vendors and Department Heads to resolve discrepancies.
- Reports errors and refers any critical decision making to the Accounts Payable Supervisor.
- Work as a team player and fill-in for fellow staff members when necessary.
- Performs other job-related duties as assigned.
Other Qualifications
- Knowledge of the procedures, methods and forms associated with automated accounts payable systems.
- Knowledge of computer accounting software, MS Excel and email system.
- Knowledge of customer service/public relations principles.
- Knowledge of accounting related documentation.
- Ability to organize and process work efficiently with accuracy and consistency.
- Ability to handle confidential financial information with tact and discretion.
- Skill in entering numerical figures and information into applicable computer databases.
- Skill in performing detailed work for prolonged periods.
- Skill in maintaining filing system.
- Skill in utilizing a wide variety of general office equipment, including personal computer, 10 key calculator, and copy machines.
- Skill in establishing and maintaining effective working relationships with upper management, vendors, tribal employees/members, co-workers, and the general public.
- Skill in utilizing customer service techniques in responding to inquiries and complaints.
