Summary

The Accounting Specialist is responsible for the entry of HQ and subsidiary general journals, job cost entries. Other responsibilities include, but are not limited to, entry of time allocation records into financial systems for job costing and allocation entries; general ledger account analysis and reconciliations; coordination of intercompany transactions and reporting across business units; routine maintenance of records; performance of various month-end and year-end administrative tasks for the accounting/finance department; providing support for regular audits, and other projects as needed.

Primary Duties

  • Enter corporate and subsidiary general journals, job cost entries, including thorough review of data entry, verifying accuracy and completeness.
  • Preparation of corresponding entries for review and posting of approved entries into financial systems.
  • Work with HQ accounting and subsidiaries in providing and ensuring all intercompany transactions are reconciled in Smartsheet, containing proper support.
    • Utilizing the accounting system to verify that the GL and Smartsheet reconcile.
    • Work with various departments to obtain support as needed.
    • Communicate with subsidiaries as needed.
  • Manage filing and maintenance of records for posted entries at HQ and applicable subsidiaries.
    • Maintain and develop process and procedure to ensure records are properly retained, filed, and easily accessible.
    • Scan entries for digital filing.
  • Manage month-end and year-end accounting tasks for the accounting department including:
    • Set up new files as needed for record retention.
  • Support External and Internal audits, as needed.
  • Maintain detailed desk procedures.
  • Perform other projects and duties as assigned.

Working Relationships

The Accounting Specialist reports to the Director of Finance Operations, and interacts frequently with others within the company’s finance and accounting groups.

Compensation: 

The initial compensation will range from $36.67 to $41.03

Education and Experience:

  • Associate's degree in accounting or the equivalent education and/or experience highly desired.
  • Strong analytical skills desired.
  • Working knowledge in computer software, including word-processing, spreadsheet applications, and accounting systems. Exposure to advanced spreadsheets.
  • Minimum 1 year experience 

Specific Skills and Knowledge

  • Thorough understanding of journal entry processes and general accounting concepts is desired.
  • Ability to critically analyze work for errors and understand the processes necessary to correct errors.
  • Detail oriented, highly accurate, with excellent organizations skills and ability to prioritize work for efficiencies.
  • Possesses professional strengths of critical thinking, independence, and organization in managing multiple duties and deadlines, and proactive analysis and problem-solving.
  • Ability to communicate effectively both orally and in writing within and outside the company.
  • Ability to effectively establish working relationships throughout operational groups.
  • Confidentiality is required.

Physical Requirements and Working Conditions

Normal works hours are a minimum 20 hrs per week on a part-time basis 8:00a.m. to 5:00p.m. Monday through Friday. Additional time may be required during heavy workloads or to meet deadlines

Physical Requirements:  Ability to sit for long periods of time, ability to communicate verbally, and in writing, and ability to handle long periods of screen time.

Fit for Duty

All employees will participate in the Fitness for Duty Program. This program includes a post-offer physical examination and drug screening and post-employment random drug screening. There are extensive smoking restrictions in and around the facility.
