About the Department

The Retention Coach supports the TRIO SSS program and its participants by providing academic advising, transfer guidance, and student support to new, pre-health, undeclared, military, and other special program students. The role embraces a team-based philosophy of proactive, intrusive advising and teaching, with student progress as the top priority. This approach emphasizes relationship management and collaboration with both academic and non-academic departments engaged in student development across the college.


This position has been identified by Pueblo Community College as a Campus Security Authority (CSA) in accordance with the Department of Education guidelines.  As a CSA, the incumbent in this position is required to report crimes that they become aware of to the Department of Public Safety at Pueblo Community College and must attend annual training related to these responsibilities.


In accordance with Colorado Revised Statutes 24-50-135, this position has been exempted from the State Personnel System.


This Position is FEDERALLY GRANT FUNDED.

Position Duties

Student Success Coaching & Activities

  • Initiates and coordinates a comprehensive student advising process for all TRIO SSS students.  
  • Provides thorough academic advising services to maximize persistence of students in their chosen program of study by helping students to prepare an Educational Pathway and assists them to become engaged in the educational environment. 
  • Reviews and interprets academic skills and assessment to determine appropriate course placement.
  • Collaborates with department personnel to recruit, interview, evaluate, and select students for entrance into the program.  This includes preparation of all academic documentation from the Banner Student Information System, analysis, and certification of this information to help determine the student’s eligibility for entrance into the program.
  • Interprets, analyzes, reports, and makes recommendations regarding advising and retention interventions.
  • Collaborates with classroom instructors to connect students to support resources that address issues that impact progress and attainment of academic and career objectives.   
  • Coordinates an on-going positive relationship with faculty, Department Chairs, Division Deans, and staff on related engagement and advising activities, policies, procedures, and updates within their respective departments/divisions.  
  • Develops and leads workshops, programs to enhance advising, and retention initiatives for the TRIO program.  
  • Assists with programming in financial literacy, transfer assistance, career exploration and preparation, student success workshops, and academic, cultural, and career enrichment activities.
  • Provides students with career information and resources.  

Retention Initiatives

  • Develops and implements retention program activities that provide the necessary resources to foster student ability to achieve academic persistence and success.  
  • Uses various new student assessments to navigate individual needs in regard to academics, study skills, and personal motivation, in order to guide more individualized and need-focused retention activities.
  • Initiates and processes EAB Navigate progress report campaigns twice during the fall and spring semesters and once during the summer semester for SSS participants.
  • Uses the electronic academic Early Alert in a timely fashion to stay aware of students’ class status and any issues/concerns reported by their instructors.
  • Responsible for retention data reports, disseminating information, and researching and providing best-practice retention intervention strategy recommendations to the TRIO SSS team.

Data Collection & Documentation

  • Prepares and maintains the TRIO SSS Student Access database, records, and reports. 
  • Coordinates the submission of required information and reports according to the Department of Education Annual Performance Report timeline.
  • Documents all services provided in the Student Access database and EAB Navigate systems.  
  • Completes requested reports that include statistics on services provided and maintains advising materials.  
  • Maintains student files, records, and data in accordance with federal, state, system, and college operating procedures and protocols, stays current on applicable laws, policies, and procedures (e.g. FERPA, TRIO Student Support Legislation and Regulations, and the Code of Federal Regulations).

Supervision & Leadership

  • Supervises, trains, and evaluates the performance of hourly employees in the execution of program services which support student retention activities.
  • Participates with other staff members in the planning, implementation, and assessment of advising goals, strategies, and development of the strategic plan.

  • Assesses individual and department work processes and recommends improvements.
  • Complies with State Fiscal Rules, State Board policies, System and College protocols, and departmental procedures.
  • Obtains and maintains proficiency with required systems and equipment.
  • Maintains confidentiality of student and employee information as required.
  • Completes all required compliance training within the established timeline.
  • Serves on committees and other groups as assigned.


This list of functions is not exhaustive, and other functions may be added at the discretion of Pueblo Community College or the employee’s supervisor.  Permanently added tasks are evaluated by Human Resources for potential position reclassification and compensation adjustment.

Minimum Qualifications

Education

  • Bachelor’s degree from a regionally accredited institution.

Experience

  • At least one year of experience in higher education and/or at least three years of experience working with disadvantaged adults and/or youth.
  • Experience working with culturally-diverse populations, first generation college students, or non-traditional students.

License/Certification

  • Valid State driver’s license throughout period of employment .

Knowledge, Skills, Abilities

  • Knowledge of laws, accreditation standards, and best practices pertaining to student services.
  • Proficiency with Microsoft Office; working knowledge of Ellucian Banner and Student Access Database (or comparable system).
  • Able to lift 15 pounds.
  • Able to read and communicate in English.
  • Mobility around campus.
  • Ability to develop and deliver professional development programs and workshops.
  • Excellent written and oral communication skills.

Travel

  • Within the Pueblo service region.
  • Within Colorado or to other states for meetings, training, transfer tours, and other work-related events.

Schedule

  • Weekdays (State business hours are Monday-Friday, 8:00am – 5:00pm)
  • Infrequent weekend and/or evening hours required
