Description
This position works collaboratively with and under the direction of the Director of Youth and Family Services to ensure the smooth, compliant, and mission-driven operation of the Out-of-School Time (OST) program. The coordinator provides day-to-day support in staff supervision, program implementation, family engagement, and compliance with the Massachusetts Department of Early Education and Care (EEC).
Essential Functions:
- Works collaboratively with the Director of Youth and Family Services to manage daily OST operations and ensure program goals are achieved.
- Supports the hiring, onboarding, scheduling, and ongoing development of program staff to maintain quality, ratios, and consistency across all sites.
- Staff supervision, accountability, and delegation of tasks.
- Builds positive, trusting relationships with children, families, and staff, promoting an inclusive and welcoming environment for all participants.
- Assists in developing and implementing age-appropriate curriculum and enrichment activities that foster creativity, confidence, and social-emotional growth.
- Ensures all programs operate in compliance with EEC regulations, Praesideum, YMCA standards, and health and safety policies.
- Evaluates children’s progress and completes required EEC progress reports twice annually.
- Supports communication and collaboration with local schools, administrators, and teachers to ensure continuity of care and student success.
- Helps manage program enrollment, precise and timely billing procedures, accurate attendance records, CACFP recordkeeping, and parent communications within the YMCA’s operating systems.
- Coordinates with the Director to plan and facilitate family engagement events, celebrations, and information sessions.
- Assists with monitoring budget performance, program/inventory supplies, and enrollment trends.
- Maintains accurate and confidential staff and child records necessary for licensing and audits.
- Collaborates across YMCA departments (membership, aquatics, camp, and wellness) to connect families with holistic Y services.
- Represents the YMCA in a professional manner within the community and supports branch-wide events and initiatives.
- Possess the ability to meet deadlines and execute responsibilities within necessary and critical timelines.
- Performs other duties as assigned in support of branch and association goals.
Qualifications:
- Bachelor’s degree in education, child development, human services, or related field preferred; equivalent experience may be considered.
- Must meet Massachusetts EEC qualifications for Site Coordinator or Group Leader.
- Minimum two years of experience working with children in an educational or youth development setting; supervisory experience preferred.
- Strong collaboration, communication, and organizational skills; ability to build positive relationships with staff, parents, and community partners.
- Demonstrated ability to support and uphold a positive, inclusive, and mission-driven workplace culture.
- Current CPR, AED, and First Aid certification (or ability to obtain within 30 days of hire).
- Completion of all YMCA and state-mandated training within 30 days of hire (Child Abuse Prevention, Bloodborne Pathogens, Mandated Reporter, etc.).

Schedule: 40 hours per week (9:00am-5:30pm)
Job Type: Full-Time (Non-Exempt)
Pay: $18.00 per hour with full benefit package to include, generous PTO, Medical, Dental, Life, Vision, Pet and Disability Insurance. 403b Retirement Savings account available with both pre-taxed and post taxed options, and once fully vested with the YMCA, the Y will pay into a 403a Retirement account for you!
