Job Summary:
The Housing Manager is a full-time position that works with the Director of Residence Life to provide a residential environment that supports student development and the mission of the university. This position has responsibility for managing the day-to-day back office housing operations to include online housing system as well as providing general support within the Dean of Students office. Exhibits excellent computer/ information technology skills and customer service skills; is able to work in a fast-paced environment; handle multiple projects; meet established deadlines; and work effectively in a diverse, team-oriented environment.
Supervisory Responsibilities
- Recruit, interview, hire, and train student workers in Dean’s office. Provide oversight as it relates to Housing operations duties.
Essential Duties and Responsibilities:
- Work with the Director, the Residential Community Directors, the RA Staff, and Public Safety to develop a residential environment that supports the academic mission of the university and that balances the need for sleep, study, and community development
- Manage and implement the housing selection process
- Manage all housing-related operations and paperwork to include key distribution during move-in and move-out times, Room Condition Reports, and express check-out envelopes, residency status change, break housing requests, early arrivals, summer housing and damage assessments
- Manage eRezLife online housing system
- Maintain and coordinate room changes and update housing records such as floor/ building listings and alphabetical listings for resident students
- Create and maintain weekly occupancy report and space availability reports
- Conduct regular key audits
- Utilize current University systems for data entry and information retrieval (e.g. Colleague, eRezLife, Informer, Maxient, Transact).
- Participate in the orientation of new professional staff
- Participate in RA training
- Manage central office operations, including: customer service, information phone line, work order requests, bulk mailings, package and mail services, etc.
- Maintain the department e-mail account, responding directly to e-mail inquiries and/or forwarding them to the appropriate person for a response
- Provide housing information, general assistance and customer service to students, parents, faculty and staff whom contact the department for assistance and information
- Oversee the management of office supplies including organization, inventory, issuance, and storage of supplies. Purchase supplies as needed to maintain an adequate supply of all office supplies needed to support central office operations
- Serve in an on-call rotation as a member of the Student Life on Call team (SLOC). Manage any student related incidents that occur on assigned shift rotation.
- Other duties as assigned.
Required Knowledge, Skills and Abilities:
- Excellent customer service skills
- Ability to manage multiple tasks simultaneously
- Technical acumen to learn complex IT systems
- Knowledge of basic accounting procedures
- Ability to prioritize tasks that require timely attention
- Ability to manage sensitive/private information
Education and Experience:
- Bachelor’s degree
- Minimum 1 to 2 years in residential life, student programs or related field.
- Experience in a fast-paced, dynamic office environment
- Experience working with different databases and IT systems
- Previous role in student affairs, housing, working knowledge of eRezLife, etc. is preferred
- Excellent Customer Service Skills to effectively interact with students, parents
Physical Requirements and Working Conditions:
- Prolonged periods of sitting at a desk and working on a computer.
- Occasionally lifting 25lbs or less
- Occasional weekend hours during high-volume work periods (Fall opening, Spring closing)
