SUMMARY:
Oversees the daily operation of the residential and commercial real estate mortgage loan servicing department, assigns work, and resolves problems. Responsible for directing the real estate loan and commercial servicers in the daily file maintenance of new loans, quoting, and posting of loan payoffs, general ledger entries, and resolving members servicing questions. Insures accurate recording, timely servicing, and precise termination of real estate loans. Interacts with borrowers, member service representatives, attorneys and vendors from the loan set up to the payoff of all real estate loan products. Develop a collaborative and strong team atmosphere with responsibility for providing daily leadership, training, and direction for the Real Estate and Commercial Loan Servicing Staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Responsible for daily supervision of real estate loan servicing, and real estate transactions staff.
- Oversee the servicing, compliance, imaging, and member service functions for the department.
- Responsible for coaching, training, and managing performance within the department; addressing complaints and resolving problems within the member service standards of the credit union.
- Collaborate on interviewing and hiring within the department.
- Assures processes and procedures are efficient and compliant.
- Work with system providers to utilize applications and workflows to their fullest capacity, streamlining processes and procedures, ensuring accuracy and compliance.
- Analyze system parameters to design to meet the needs of the lines of business in which the department supports. Continuance review of Host system upgrades and investigation of additional features and services to enhance the overall servicing of all loan products.
- Responsible for coordinating projects and implementation with mortgage and commercial lending department(s). Assists with consumer servicing division on various projects when requested. Assist in quality improvement initiatives within department.
- Primary contact for real estate and commercial servicing audits and risk requests and findings. Responsible for achieving high audit scores on reviews performed by internal and external auditors.
- Maintain and update procedures related to job functions. Continuance review of Credit Union policy and procedures. Incorporating any changes in compliance within areas of responsibility.
- Maintain Tracking to capture data elements used for departmental KPI reporting. Generate and distribute accurate progress reporting on a Weekly, Monthly and Ad Hoc basis as requested.
- Communicate any trends and/or problems with recommended solutions to CLO.
Monitors the daily activities of employees in the real estate and commercial servicing area. Overseas and assists servicing staff on the following servicing functions, including, but not limited to:
- Reviews the mortgage or commercial loan file when closing documents are returned from the conveyance attorney. Ensures accuracy of the documents. Coordinates the assembly and set-up of mortgage loan files after closing.
- Inputs or reviews the mortgage loan specifics on the servicing system. Post checks for GL entries. Assists in the correction of input errors. Notifies appropriate personnel for corrective action.
- Reviews & file maintenance of second mortgage loan files after upload to servicing host system. Post checks for GL entries and disbursement of funds.
- Reviews and updates all documentation sources for Automatic transfer ACH, payroll deduction, checking or savings transfer of mortgage loan payments. Works with various departments and personnel to ensure accuracy and finalization of automatic transfers.
- Monitors and maintains receipt of recorded mortgages and updating collateral screens upon receipt from the Registry. Administers corrective action for missing or inaccurate information. Maintains the filing of the recorded mortgages in mortgage loan folders.
- Prepares payoff calculations and notifies the appropriate parties. Manages phone inquiries, faxes and member service questions regarding payoff requests. Prepares disbursement of payoff funds and discharges all applicable documents along with the cancellation of the Mortgage Note and Discharge of Mortgage. Maintains loan records of disbursement amounts. Maintains all paid Mortgage files.
- Assembles, organizes, and prepares for delivery documentation required by Secondary Market investors. Maintains weekly or monthly reconciliation reports for Secondary Market Investors and several logs (tracking) to generate reports. Reconciles general ledger accounts pertaining to Secondary Market Investors. Maintains various general ledger accounts for reconciliation.
- Performs Quality Control Review of new mortgage originations. Verifies the existence and accuracy of legal documents, credit documentation, the quality of property appraisals, and underwriting decisions.
- Sets up tax and insurance services on mortgages. Maintains real estate tax disbursements, flood insurance, and annual tax escrow analysis.
- Reviews Private Mortgage Insurance mortgages and maintains records & documentation regarding cancellations and automatic terminations.
- Conducts periodic Adjustable-Rate Mortgage adjustments and Equity Line of Credit conversions, and commercial recasts.
- Assists with phone calls and issues pertaining to members’ accounts. File maintains errors and adjusts as deemed necessary.
- Oversees monthly General Ledger reconciliations. Reconciles billing statements from various vendors.

Requirements
QUALIFICATIONS:
- Wide range of banking knowledge plus a good understanding of standard servicing procedures and regulations.
- Excellent communication skills, both verbal and written, in dealing effectively with members/customers and third-party vendors.
- Ability to organize and prioritize multiple tasks.
- Strong computer skills.
- Proficient clerical and typing skills.
- Ability to research and resolve problems.
- Must have a basic understanding of general ledger accounting
- Good interpersonal skills necessary to represent the Credit Union in a positive manner.
EDUCATION:
- High school diploma or the equivalent.
- One to two years of work experience in a credit union or financial institution

The pay range for this position is $29.00 to $36.00 per hour and is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. The range may be modified in the future. An employee’s pay within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, sales or revenue-based metrics, and business or organizational needs and affordability.
