General Description
Supervises field and regional resource center offices and assists regional manager with the effective operation of the region. Acts as administrative assistant for the regional manager.
Duties and Responsibilities
- Supervises and directs regional resource center field and other assigned regional Associate staff in the performance of their work.
- Assists in the hiring of field Associate staff.
- Provides consultation on various personnel matters, mediates internal disputes and counsels Associate staff.
- Appropriately responds to employee grievances as required.
- Monitors and approves as authorized: purchase orders, check requisitions, work orders, supply requisitions, computer and print job requests.
- Approves attendance records for Associate staff such as overtime, compensatory time and leave requests.
- Monitors and approves Associate staff expense reports.
- Reviews and approves, as authorized, expenditures for the operation of field and regional offices; prepares quarterly budget variance reports and monitors the region’s annual budget.
- Reviews facilities and evaluates equipment for the regional and field offices; makes recommendations on purchase of new equipment; assists Professional and Associate staff with office concerns/problems.
- Acts as on-site property manager of regional office buildings.
- Conducts safety inspections and recommends corrective measures.
- Responds to work related injuries and completes initial report to Human Resources.
- Coordinates execution of regional resource center lease agreements with Property Supervisor and regional management.
- Coordinates new location and office layout design and upgrading of existing office space with staff members.
- Oversees logistics and arrangements of numerous meetings in the Region.
- Manages logistics for regional leadership conference including hotel contract/agreement, travels to different locations for site inspections of hotel properties; composes, produces and supervises distribution of information and handles finances and registration.
- Responds to emergency situations in the absence of regional management.
- Performs other duties assigned.
Qualifications - Minimum Required
- Bachelor's Degree, or Associate degree and two (2) years of relevant experience or five (5) years of relevant experience.
- Experience in conference coordination and program management.
- Knowledge of CTA structure, policies and procedures.
- Proficiency in the use of computer technology, and ability to learn and use the Association’s software programs.
- Strong and effective communications and interpersonal skills.
- Ability to obtain and maintain a valid California driver’s license.
