SCOPE: Provide events project leadership, including logistics coordination for the execution of exceptional fundraising and investor events.

ESSENTIAL FUNCTIONS: 

  • Support the Director, Gatherings with the flow of overall operations of an event, ensuring everything runs smoothly related to planning, invitations, venue, lodging, food and beverage service, transportation, meeting spaces, and audio/visual components.
  • Provide pre-gathering and onsite logistics by setting goals, making assignments, and supporting team members to solve any problems that might arise to ensure all teams are in alignment to execute an excellent gathering. 
  • Work in tandem and maintain close coordination with one or more external alliance agency team members as the event unfolds.
  • Provide calendar coordination related to assigned areas. Monitor appointment priorities to ensure timelines are on track and deadlines are met. Host and run meetings as required.
  • Work with the Director, Gatherings to ensure all budgets, payments, and expenses are facilitated and documented. Maintain a corporate credit card account in good standing.
  • Work within the team project management system to update assigned tasks and deadlines, resolving or escalating roadblocks as needed.

SPECIALIZED FUNCTIONS: 

  • Support the Director, Gatherings with venue-related tasks and projects by conducting research, gathering information, and providing recommendations as requested. 
  • Enter all expenses related to the venue budget into a tracking spreadsheet. Regularly review and update the budget to ensure accurate financial monitoring and reporting to the Director, Gatherings.
  • Coordinate with various teams to ensure all activities related to the venue, lodging, food and beverage service, table seating, and meeting spaces are organized and executed smoothly.
  • Update and maintain the rooming list, including reservations and suite assignments.
  • Collaborate with the reservations team to ensure accuracy and availability of accommodations while closely monitoring expenses related to the overall venue budget. 
  • Ensure Banquet Event Orders (BEOs) reflect all aspects of the event, including menu selections, room setups, audio-visual requirements, timelines, and any special requests. 
  • Provide on-site leadership for each assigned event and administer closing operations to ensure all procedures are properly completed, ensuring a smooth and efficient event experience.
  • Coordinate the setup of the annual event website, manage all MailChimp communications, and ensure ongoing edits are completed as requested to maintain accurate and current information. 
  • Lead the setup of project management boards and dashboards requested by the Director, Gatherings, including the annual gathering, collateral project management, and special team requests.

SUPERVISORY RESPONSIBILITY:

  • This position is responsible for supervising a team of one to two.

OTHER DUTIES: 

  • Attend and actively participate in a variety of meetings and task force groups, demonstrating strong listening, communication, and collaboration skills.
  • Ability to work flexible hours, including evenings and weekends during event season.
  • Perform or assist with any assignments as required or directed, demonstrating a willingness to be flexible and adapt to changing priorities and responsibilities.

WORK ENVIRONMENT:

This job operates in a professional office environment and event venues. This role routinely uses standard office equipment such as laptop computers and smartphones.

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk, hear, sit, stand, and walk for extended periods of time. Kneeling, bending, lifting, standing, or sitting for long periods of time, preparing shipments, and set up/tear down of events are also required.

TRAVEL:

Domestic travel is required. Ability to travel an average of several days per quarter and up to 10 consecutive days for the annual event.

  • Requires a bachelor’s degree with a focus on Public Relations, Communications, or Business, or equivalent relevant experience.
  • Requires 5 to 7 years of progressive experience.
  • Strong communication skills, including excellent written and verbal communication.
  • Strong attention to detail and organization, with the ability to manage multiple projects simultaneously and prioritize tasks effectively.
  • Strong critical thinking and problem-solving skills, with the ability to analyze complex information and make decisions.
  • Ability to coordinate logistics, with a track record of success in supporting events of various sizes and complexity.
  • Ability to exercise judgment to prioritize tasks and exercise strong time-management skills, with the ability to work efficiently and meet deadlines in a fast-paced environment.
  • Proficient in the use of Google Drive, OneDrive, and Dropbox, with experience in managing shared files and collaborating with remote teams.
  • Working knowledge of Monday.com or a willingness to complete training within 3 months of the hire date, with a demonstrated ability to learn and adapt to new software tools quickly.
