Job Title: Operations Specialist
Job Description: Provides organization and workflow that assists Branch Managers and Operational Managers in meeting or exceeding goals. Assists in the shipping and receipt of incoming packages, freight, parts, equipment and materials and performs various warehousing duties. Provides billing and administrative support to the Branch Manager and Operational managers at satellite sites and the corporate home office. Ensures billing accuracy and completeness in time driven environment. Generates reports and prepares and monitors invoices and expense reports. Performs a variety of administrative functions. May assist with compiling and developing budget materials.
What You’ll Do:
- 20%: Project Assistance: Set up jobs in the system for projects, Distributes job information to Project Managers and Purchasing. Enters project data in the system Sets up field files and office files for each project. Place orders for materials & PO setup. Vendor setup, equipment posting, lien waivers. Reviews labor entered by field employees, insuring correct general ledger coding.
- 20%: Payment/invoice Processing: Work or assistance with funds (and the paperwork required) going in and/or out. Enters information into business systems that aid in billing. Assists in preparing and modifying invoices, bills, receipts, etc. for customers and distributors.
- 15%: Ships, receives, records, sorts and distributes incoming parts, materials and equipment; checks packing slips for discrepancies and correct part numbers. Barcode items for stock and branches, including ST’s. Confirm orders for billing. Loads and unloads delivery vehicles. Check parts for damage.
- 5%: Assists in maintaining warehouse storage space, organizing inventory, stocking shelves, checking and performing inventory counts and advising supervisors of under/over stocking. Orders shop supplies under the direction of a supervisor.
- 10%: Operates various types of packaging and warehouse equipment such as fork lift, banding machine, etc.; operates a delivery van; uses small hand tools in performance of duties. Makes deliveries and picks up deliveries as assigned.
- 10%: Conducts Reception/Maintains Office Files: Screens telephone calls and visitors for the Operations Manager and staff. Types letters, reports and proposals for operational leaders. Makes travel arrangements and assists managers with travel expense recording.
- 10%: Other duties as assigned.
- Working Hazards: Occasionally works in an environment with potential exposure to fumes, dirt, noise, equipment movement dangers, vibrations, dangerous chemical/solvents, electrical shock, and inclement temperature extremes.
- Physical/Mental: Ability to perform heavy physical labor exerting up to 100 pounds of force on an occasional basis and up to 50 pounds of force on a frequent basis performing such tasks as climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, grasping and fingering.
What We’re Looking For:
- Education: Requires a high school diploma. One or more years additional course work or business training in accounting, distribution/warehouse, business or equivalent experience.
- Experience: 0-3 years of related experience, or equivalent training and/or experience.
- Licenses/Certifications: None. Preference for candidates with formal Microsoft Office training.
- Technical Abilities: Strong Microsoft Office skills, with an emphasis on Excel. Strong record-keeping and organizational skills. Excellent computer skills. Excellent attention to detail. Excellent listening and communication skills. Professional demeanor with ability to lead teams.
- Autonomy/Direction: Relies on experience and judgment to plan and accomplish goals. Performs a variety of tasks. Works under general supervision. A certain degree of creativity and latitude.
- Tools and Equipment: Ability to perform manual labor and equipment operation as described. Ability to operate a forklift. Requires learning basic computer programs such as supply chain software and basic office programs.
