Job Summary: 

The Document Control Clerk is responsible for managing and maintaining project documentation in accordance with company and industry standards. This role ensures that all engineering and construction documents are properly received, recorded, distributed, and archived to support project teams and regulatory compliance. This is a seasonal (temporary) role based on project need, but could lead to a permanent opportunity for the right candidate.

Responsibilities:

  • Receive, log, and distribute incoming and outgoing documents (e.g., drawings, specifications, reports, contracts).
  • Maintain document control systems and databases to ensure accurate tracking and retrieval.
  • Ensure documents are filed and stored according to company procedures and project requirements.
  • Monitor document workflows and ensure timely review, approval, and revision of controlled documents.
  • Assist project teams with document formatting, version control, and compliance with document standards.
  • Coordinate with engineers, contractors, and other stakeholders to ensure proper documentation flow.
  • Archive project documentation at project close-out and support audits or inspections as needed.
  • Maintain confidentiality and security of sensitive project information.

Qualifications and Experience:

  • High school diploma or equivalent; associate degree or certification in records management or related field preferred.
  • 1–3 years of experience in document control, preferably in engineering or construction environments.
  • Familiarity with document control systems (e.g., Aconex, Procore, SharePoint, or similar platforms).
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks and prioritize effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Excellent communication and time management skills.
  • Knowledge of engineering drawings and construction terminology preferred.
  • Experience with ISO standards or other regulatory frameworks preferred.
