Duties and Responsibilities:

The Community Relations Associate is responsible for ensuring a successful, warm, and welcoming transition of each resident into their new home.  Recognizing that major change is not an easy time in a seniors’ life, the Coordinator of Community Relations must be compassionate, organized and attentive to details in the completion of job duties.

  1. Meets with all prospective residents and families/responsible parties to establish relationships, gather information, answer questions, conduct tours, and qualify residents for admission.
  2. Maintains accurate, complete and up-to-date lead activity notes, occupancy and suite inventory reports and forecasts.  Ensures that all resident information is up to date and accurate in the property management system, including but not limited to resident and family contact information, face sheet information, deposit status, and move-in/ move out status.
  3. Monitors lead tracking activity on Right Click software for timeliness and accuracy. Organizes and generates required reporting in accordance with weekly sales & marketing meetings including agenda and availability reports.
  4. Ensures that all marketing materials are kept up to date and meet state and federal regulatory requirements (i.e. Resident’s Rights, Fair Housing, etc.)
  5.  Active and timely follow up on all internet leads.  
  6. Assists residents and families with moving arrangements and coordination of calendar dates and schedules.
  7. Inspects model rooms and open inventory on a daily basis to ensure they are “tour ready” at all times.  Works with Housekeeping and Maintenance departments to correct any deficiencies.
  8.  Assist in developing annual and quarterly outreach and event plans based on current community needs and objectives. Attend regular reviews of progress against team and personal goals, discuss completed community outreach activities, and plan strategic outreach visits.
  9. Cultivates and maintains a network of quality clinical and non-clinical referral sources who drive qualified traffic resulting in sales conversions to various neighborhoods at the Community.
  10. Maintains and builds professional referral source data-base, documenting all professional contacts and ensures accurate records of all activities including appointments and lead information are maintained.   Each referral sources status is continuously assessed for frequency and quality.  Follows-up appropriately with all referral sources once a resident has deposited and moved-in.
  11. Visits existing residents that have been sent to a hospital or rehab, and meets with social workers to educate them about Kensington’s on-site community services available at discharge.
  12. Facilitates and manages on site special events to be regularly held on-site at the community.
  13. Represent Kensington Place at local events, networking associations, community and corporate functions, health fairs, etc. as appropriate.
  14. Assist with the imputing and management of social media including, but not limited to the website, Facebook, reviews, twitter, blogging etc.  
  15. Attend training courses and participate in other professional development activities as required.

Knowledge and Skill: 

  1. Must have excellent verbal skills and communication abilities.
  2. Ability to work effectively within a team based environment.
  3. Strong time management and organizational skills.
  4. Must have excellent computer skills, including; Word, Excel, Outlook, Power Point, and Property Management System.

Qualifications:

  1. Must be able to clearly and proficiently communicate with people of all ages, while maintaining an energetic and positive attitude.
  2. Must be able to read and write English and follow verbal and written instructions.
  3. Experience in a similar position is preferred.
  4. Ability to work flexible hours including weekends and evenings.
  5. High school or equivalent diploma required. Under graduate college degree preferred.

Mental and Physical Requirements:

  1. Requires ability to stand and walk short and long distances for extended periods of time.
  2. Must be able to lift and/or carry objects in excess of 25 pounds.
  3. Requires reaching above, below, and at shoulder length.
  4. Ability to remain calm and positive in stressful situations.
