JOB TITLE:                     Admissions Coordinator

DEPARTMENT:              Office of DMin Studies

SUPERVISOR:                 Director of DMin Studies

 

  1. PURPOSE OF THE JOB (What are the end results or objectives of this position?  Why does the job exist?)
  • Coordinate and facilitate the admissions process for prospective and incoming DMin students under the supervision of the Director of DMin Studies, working alongside the other office personnel in administering the daily operations of the Office of DMin Studies.
  • Manage any recruiting strategies, such as the DMin Newsletter, alongside other office staff.
  • This job is currently a part-time position (29 hours) per week with some flexibility.
  1. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES (What duties are required for the position to exist?)
    • Answer phone, e-mails, and other daily correspondence as needed for personal and office emails.
    • Admissions Coordinator Responsibilities:
      1. Answering, track, and process all prospective student inquiries
      2. Track inquiries and applicants on weekly statistical reports
      3. Manage points of contact and development of recruiting strategy alongside the Director
      4. Keep up to date on accreditation standards and assist in Accreditation Standards
      5. Assist the Communication Office in editing and maintaining the SEBTS DMin website and other promotional material to advertise general cohort and special cohorts.
      6. Handling, process, and evaluate all DMin applications and application materials on Slate and in DMin filing system
      7. Assist applicants with the application on Slate and with the admissions process
      8. Prepare and evaluate application files for the DMin Committee Application Review
      9. Document, compile, and send acceptance and denial letters on Slate and in DMin files
      10. Matriculate students that are accepted
      11. Offer academic advising meetings involving the creation of customized program plans and orienting students to program policies
    • Assist DMin students during the course of their program.
    • Assist Associate Director of DMin Studies scheduling active student and prospective student meetings.
    • Assist DMin Director and office staff in the preparation of semesterly reports
    • Assist with DMin Graduation alongside the Administrative Assistant.
    • Create and Maintain web-based forms
    • Project, track, and encourage student enrollment in statical reports and through email reminders.
    • Assist in editing the DMin Student Handbook, DMin Student Resources documents, and course catalog.
    • Advise active students on course scheduling, DMin policies, and program expectations.
    • Assist Office Manager in planning, preparation, and hosting of bi-annual DMin Seminar Week on campus.
  1. OTHER DUTIES & REPONSIBILITIES (Responsibilities/important duties performed occasionally or in addition to the essential duties of the position.)
    • Any other duties as requested by the Associate Director of DMin Studies
    • Assist the Associate Director in production of DMin communication as needed
  1. SUPERVISORY RESPONSIBILITIES (Provide the number and type of employees supervised, level of authority to hire and fire or to make recommendations.)
    • No supervisory responsibilities
    • No authority to hire or terminate employees

      • Ability to use extensively Microsoft Office (especially Word, Excel, and Outlook)
      • Ability to use Excel to report statistics

      • Knowledge of when to involve the Director and/or Associate Director of D. Min Studies concerning issues of policy
      • Knowledge of Higher Education Accreditation guidelines, process, and reporting

      • Knowledge of PowerCampus Student and transcript information, course section listings
      • Knowledge of JotForm.
      • Knowledge of Asana.
      • Knowledge of Calendly.
      • Knowledge of Zoom.
      • Knowledge of Concur Expense.
      • Knowledge of Slate (Online application).
      • Knowledge of DMin program procedures.
      • Knowledge of DMin program structure.
  1. FISCAL RESPONSIBILITY (Budgeting responsibilities, approval privileges on purchase orders and check requests, reporting and auditing functions.)
  • Reconcile purchases in Concur for the Associate Director and Director of DMin Studies
  • Generate Faculty Stipends through the SEBTS Business portal for professors who need to be remunerated for Faculty Chair and Faculty Readers for oral defenses.
  • Handle transmittal of money transactions in conjunction with Business Office
  • No reporting or auditing functions
  1. EXTENT OF PUBLIC CONTACT (Within and outside the Seminary)
    • Answer questions about DMin Studies Program from prospective students
    • Assist in disseminated information through DMin website
    • Answer questions about DMin program from current students, as needed
    • Answer questions by SEBTS Professors as needed
    • Assist in recruiting events as directed by the DMin Director and Associate Director
  1. PHYSICAL DEMANDS (Walking, lifting, equipment, operation, etc.)
    • No unusual physical demands
  1. WORKING CONDITIONS AND ENVIRONMENT (i.e., necessary travel, unusual work hours, unusual environmental conditions, etc.)

  • Periodic errands off campus to purchase items needed when hosting events and when office supplies are needed
