Key Responsibilities, include but are not limited to:
- Schedule and dispatch service technicians to customer sites based on service requests, urgency, and technician availability.
- Communicate with customers to confirm service appointments, provide updates, and address inquiries or concerns.
- Handle incoming phone calls.
- Monitor and track the progress of service jobs to ensure timely completion and resolve any scheduling conflicts.
- Coordinate with internal departments to ensure necessary resources and information are provided to technicians for each service job; details include-location, equipment, custom instructions/notes, job details.
- Maintain accurate and detailed records of service requests, technician assignments, invoice status information, and customer communications using company software systems.
- Manage multiple databases with accuracy.
- Analyze and optimize routes and schedules to improve efficiency and reduce costs.
- Assist with flow of invoice processing by reviewing completed work orders for accuracy and obtaining necessary information.
- Ability to lift up to 20lbs when assisting with miscellaneous duties.
- Execute additional duties and responsibilities as assigned.
Qualifications:
- Proven experience in dispatching, customer service, or a related role.
- Background in Accounting is preferred.
- Strong communication and interpersonal skills to interact effectively with customers and team members.
- Excellent organizational and time-management abilities.
- Proficiency in Software systems for scheduling and invoicing, scheduling tools, and Microsoft Office Suite.
- Ability to multitask and remain calm under pressure in a fast-paced environment.
- Capable of lifting up to 20lbs when assisting with miscellaneous duties.
- Problem-solving skills with a focus on finding practical and efficient solutions.
