SUMMARY:

  

Reporting to the Director of Clinical Operations and working in collaboration with the clinical leadership of the assigned clinical practices, the Practice Administrator will develop and implement policies and procedures that support efficient patient scheduling, ensuring appropriate staffing and service to support the smooth function of the practices.


GENERAL DUTIES & RESPONSIBILITIES:

Develop systems to ensure the clinical departments operate efficiently and effectively

· Manages resource allocation to ensure appropriate staffing levels are assigned to support effective and efficient delivery of care and maximize resources.

· Review clinical practice programs and initiate new methods and modify procedures as necessary to provide better care and greater efficiency in operations. 

· Assess practice capacity and capabilities.

· In conjunction with the assigned clinical leadership, will develop and implement plans, policies and programs that support the efficient operations of systems.


Oversight for Patient Management and Systems

· Develop and implement appointment scheduling protocols.

· Schedule patient flow to maximize usage of providers, staff, and space.

· Manage all scheduling changes.

· Work closely with Patient Accounts to review and define patient encounter and collection protocols.

· Assist in developing and monitoring inventory control systems and equipment management.

· Assist in the development and monitoring of appointment confirmation systems

· Participate in the Performance Improvement activity.

· Participate in and adhere to all Joint Commission task force meetings and regulations.

· Identify issues and initiate projects for Performance Improvement.


Provide business and fiscal management support to the practice

· Assist in the development and monitoring of budgets, ensuring operations are managed within established guidelines, and establish goals to maximize revenues.

· Participate in meetings and committees in discussions of goals, visions, and strategic plans for clinical practices.

· Review, monitor, and provide analysis and reporting on practice operating results, including revenue, visits, and productivity, expenses, and other available data.

· Develop and maintain effective working relationships with management and staff throughout the agency.

· Act as liaison between ancillary staff and administration.


Personnel Management

· Assist with staff recruitment and training.

· Assist with orienting new staff members.

· Participate in the planning and conducting of ongoing in-service educational programs.

· Provide support to clinical leadership by providing the assistance needed to motivate the workforce with the implementation and acceptance of business practices

· Supervise staff within the framework of agency policies and procedures.

· Ensure proper work standards for the department.

· Maintain required documentation

· Manage payroll and monitor use of time.

· Oversee performance evaluations.

· Resolves problems between patients and staff as necessary


Requirements

REQUIRED SKILLS & COMPETENCIES:

Education: Bachelor’s degree or equivalent health care experience. Advanced degree a plus


Experience:

  • Previous experience in practice/health care management with 3-5 years’ experience that demonstrates a strong understanding of health care delivery
  • Previous management experience with demonstrated skills in planning, fiscal management and performance improvement
  • Excellent verbal and written communication skills with the ability to work with clinical and non-clinical staff

Software/Hardware: Must be proficient and have a strong working knowledge of Microsoft Office (Outlook, Excel, Word, etc.).
