Position Overview:
The Administrative Assistant provides high-level administrative support to the Zone Vice President and leadership team. This role is responsible for managing day-to-day coordination, communication, and workflow activities. This position will provide administrative services that may include some or all of the following:
Job Responsibilities:
- Collect, review and process new hire paperwork, performance reviews and miscellaneous personnel records.
- Compile daily, weekly and monthly reports, as well as budget information.
- Responsible for note taking and the preparation of meeting folders.
- Plan and coordinate meetings held in the market.
- Compile data and filter out to field management when requested by the Zone Vice President.
- Collect, track and submit all field expense reports.
- Respond to all internal and external questions/and or complaints, elevating it to the appropriate individual or department when necessary.
- Ensure that local city and state business licenses are in compliance.
- Administrative responsibilities such as filing, data entry, letters, copying, faxing and ordering.
- Receive and review all maintenance issues, and forward to the Real Estate department.
- Other duties as assigned.
Job Requirements:
- Bi-lingual abilities in Spanish and English is a must
- Previous administrative and/or clerical experience required with strong customer focus
- Proven ability to work with confidential matters where utmost discretion is expected on a daily basis
- Proficient in Microsoft Word, Excel and PowerPoint
- Proficiency in math calculations and basic math word problems
- Proven prior experience where punctuality and good attendance were required
- Availability to work flexible hours/days as needed including occasional evenings and weekends
- Strong organizational skills and attention to detail
- Experience in a customer focused environment and ability to handle stressful customer focused demands
- Ability to work well under pressure, meet deadlines and manage multiple priorities
- Exceptional written and verbal communication skills
- Must possess a valid driver’s license and have own means of transportation
Physical Requirements:
- Must be able to sit and/or stand for long periods of time.
- Ability to lift 15 lbs.
