Job Title: Payroll Specialist
Location: CAB Department: Fiscal Management
Reports To: Chief Financial Officer

Salary Classification FIS-II/Step 0, $25.32
Nature and Scope of Job:
To assist in the coordination, operation, and all facets of the day-to-day activities in the Payroll Office while promoting an atmosphere conducive to the effective operation of the office and ensure optimal services are made available to all district personnel and the general public in a courteous and professional manner. Individual must demonstrate knowledge in (Payroll and Accounts Payable) and have the capacity to learn and become functional in all listed Job Functions.
Job Functions:
Essential Functions:
1. Prepare all payrolls (one monthly for Administrators and Classified Personnel; two each month for Teachers) to include:
a. Maintain employee master file on computer
b. Enter contracts of certified personnel, contract changes and adjustments.
c. Enter hourly rates for classified personnel.
d. Maintain a computer file of authorized deductions requested by personnel.
e. Import/enter time sheets, day (substitutes) wages and adjustments for classified personnel.
f. Enter and verify all extra activity payments and all adjustments for certified personnel.
g. Run and verify all payroll procedures as per payroll menu.
h. Print and process payroll checks.
i. Prepare checks for distribution.
j. Preparation of W-2 Forms and Submitting Transmittal Forms to the Social Security Administration.
k. Balance and post each payroll making necessary corrections as needed.
2. Prepare Journal Voucher and General Journal Entries to correct accounts as necessary in the General Ledger.
3. Closing the Fiscal Year, storing of last years files, and the preparation of the next years computer files.
4. Prepare salary proposal information for negotiations and budget preparation.
5. Assist in the preparation of the School District’s Budget insuring location and department budgets conform to approved allocations and guidelines.
6. Preparation of 941’s and State Retirement Reimbursements.
7. Assist with the Annual School District Audit.
8. Process sick leave and vacation leave.
9. Answers telephone and greets visitors daily in a courteous manner.
10. Uses positive verbal and non-verbal communication skills when working with district personnel, vendors, and general public.
11. Maintain accurate files, record, and accounts.
12. Other duties as may be assigned.
13. Follow the terms and conditions of the District’s confidentiality agreement.
Other Functions:
1. Updates budgetary information for assigned areas.
2. Seeks additional tasks when assigned work is completed.
3. Performs any other duties as specified by the Supervisor.
4. Performs data entry using the ALIO Computer System.
5. Assists in the preparation of annual budget requests.

Minimum Requirements (Education, Experience or Formal Training):
Combination of education and work experience equivalent to or exceeding AS degree in Accounting, Business, or related field.
Computer experience desirable (main frame PC and Macintosh)
Payroll background desirable

Digital finger strength necessary for typing.
Lower body strength to stand/walk throughout the day.
Lower body strength to climb ladder or foot stool to reach files 5 feet high.
Upper body strength to lift 25 pounds and carry more than 20 feet throughout the work day.
Visual acuity and stamina to work at a computer monitor throughout the work day.
Standing for at least 10% of the work day.
Walking for at least 10% of the work day.
Sitting for at least 80% of the work day.
