Position Summary
The Practice Manager is responsible for overseeing the day-to-day operations of the Medical Associates Plus Golden Camp site. This role ensures delivery of high-quality customer service and operational efficiency across the center. The Practice Manager works closely with cross-functional teams and leadership to maintain a collaborative and high-performing environment that supports both staff and patients.
Essential Duties and Responsibilities
- Develop and implement operational policies and procedures to ensure efficient clinic operations.
- Oversee key administrative functions including patient registration, collections, purchasing, accounts receivable, and training of non-clinical staff.
- Manage the front-end revenue cycle functions to ensure timely and accurate registration, coding, charge entry, and collections.
- Ensure timely completion of financial and operational reports as required.
- Maintain the confidentiality and security of all patient records, serving as the official custodian of medical records.
- Hire, train, evaluate, and schedule front desk and support staff, ensuring adequate coverage and optimal performance.
- Conduct performance evaluations and provide coaching and corrective actions as needed.
- Manage the scheduling processes for all providers, in collaboration with the Director of Quality and Clinical Operations.
- Supervise front desk and call center operations, ensuring exceptional customer service and patient satisfaction.
- Facilitate regularly scheduled team meetings and training sessions.
- Handle patient inquiries, complaints, and feedback in a professional and timely manner.
- Monitor and analyze patient flow, cancellations, and no-show rates, and implement improvements as needed.
- Ensure accurate cash handling, daily deposits, and maintenance of petty cash funds.
- Track call center performance and call volumes and recommend process improvements.
- Ensure the clinic environment is welcoming, organized, and well-stocked with necessary supplies.
- Collaborate on the development of new systems and processes to improve service delivery.
- Maintain required documentation logs including daily activity, cancellations, no-shows, and new patients.
- Support patient safety and performance improvement initiatives.
- Perform other related duties as assigned.
Qualifications
Education
- Bachelor’s degree in Healthcare Administration, Business Administration, Accounting, Health Management, Social Work, or related field preferred.
- In lieu of a degree, two (2) years of progressive medical management experience may be substituted.
- Associate degrees plus two (2) years of medical billing and coding experience may also be accepted.
Experience, Knowledge, and Skills
- Minimum of 2–3 years of experience in medical office management preferred.
- Strong knowledge of Medicare/Medicaid rules and reimbursement procedures.
- Understanding of available services within MAP and community resources.
- Skilled in problem-solving, multitasking, and managing change or conflict.
- Excellent written and verbal communication skills.
- Ability to prioritize tasks, manage time effectively, and exercise sound judgment.
- Proficient in Microsoft Office and electronic medical records (EMR) systems.
- Demonstrated leadership and team management capabilities.
- Familiarity with intake, evaluation, and interviewing techniques.
- Ability to maintain confidentiality, professionalism, and cultural sensitivity.
- Knowledge of performance improvement and safety standards.
- Experience working with government programs such as Medicaid, Medicare, and Social Security.
- Ability to analyze data and generate reports.
