This position will support the operations of the University of Hawaii at Manoa School of Nursing and Dental Hygiene (SONDH) Office of Student Services, and is expected to begin approximately December 2025 or as mutually acceptable. Duties and Responsibilities:
- ** Manages day-to-day operations of the Graduate Nursing Program; MS and PhD in Nursing.
- ** Advises prospective students on pre-admission requirements, course selection for each semester, special equipment and connectivity requirements needed for online courses, and develop and maintain tracking system for ongoing follow-up.
- ** Develops and maintains various student databases on recruitment trends; enrollment, graduation, attrition; personnel data; and resources marketing.
- ** Works with Graduate Division to assist potential students with the admission process.
- ** Develops and maintains databases for program such as curriculum, program evaluation and reports.
- ** Develops and implements various informational and recruitment materials, including those hosted on the school web site.
- ** Writes and produces reports; collects and analyzes research data; drafts correspondence for the Program Directors on matters related to the project.
- ** Works with the Marketing Manager in the development and execution of marketing materials and plans; conducts recruitment presentations to community agencies at both local and national conferences.
- ** Coordinates activities with internal and external organizations including prospective student informational sessions, admissions interviews, new student orientation, workshops and mentoring sessions, and pre-licensure completion recognition, which may require working outside of normal business hours including evenings, weekends and/or holidays.
- ** Plans and coordinates special consultant visits.
- ** Coordinates admissions process including the intake of applications, inputting applications into the system, completing first review of applications to ensure requirements are met, creating admission grids for faculty review, and process acceptances.
- ** Manages and responds to all recruitment inquiries.
- ** Monitors timetables for program activities including processes for admissions, scholarships, registration, and program completion.
- ** Monitors student progression and matriculation.
- ** Assists and coordinates scholarships/grants/internships.
- ** Monitors and assists students in establishing affiliation agreements with clinical/outside agencies.
- ** Collaborates with UH Outreach College, Graduate Division, UH Admissions and Records, Graduate Chair, Program Directors, and Office of Student Services Director in facilitating and resolving student enrollment issues.
- ** Works with UH Outreach College to ensure accurate completion of all Memorandum of Understandings and personnel documents.
- ** Plans and coordinates meetings, attends meetings and conferences on recruitment techniques and other new methodologies.
- Updates and maintains program web pages, catalogs, and student handbook.
- Keeps abreast of changes in program, admissions, policies, and procedures.
- ** Provides administrative and fiscal support to the Program Directors.
- Supervises graduate or student assistants relating to program.

- Possession of a baccalaureate degree in education, business, healthcare, or related field and three (3) year(s) of progressively responsible professional experience with responsibilities for health management, project coordination, and/or academic advising; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
- Considerable working knowledge of principles, practices and techniques in the area of health management, academic advising or project management as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
- Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with health management, academic advising or project management.
- Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
- Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
- Demonstrated ability to operate a personal computer and apply word processing software.
- If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
- Excellent organizational skills, able to multi-task and meet deadlines.
- Demonstrated ability to exercise good judgment, professionalism, problem-solving and communication skills with a high standard of customer service when responding to complex and demanding situations, inquiries or complaints.
- Demonstrated proficiency in the use of Microsoft Office applications like Excel, Word, and Outlook, including the capability to efficiently input and manage data within a professional database system or related programs.
- Demonstrated knowledge and understanding of FERPA and HIPAA regulations and willingness to obtain university certification in relevant regulations.
- Able to work outside of normal business hours including evenings, weekends and/or holidays.
Desirable Qualifications:
- Master's degree in Nursing or Business Administration or Student Counseling.
- Work experience in student counseling or academic advising.
- Work experience in a student services environment in a higher education setting.
- Experience in an academic support environment.
- Experience with University of Hawaii policies and procedures, and student information systems.
