Job Summary:
Supervises HIM functions and staff. Coordinates activities and follows-up with the HIM team leads to assure productivity and quality is maintained. Supervises the day-to-day operations. Conducts training, validates quality and accuracy of learning experience. Performs performance appraisals & disciplinary procedures. Oversees local, state, and federal reporting requirements. Audits records for performance improvement data.
Job Requirements:
Education and Work Experience:
- Bachelor’s Degree or equivalent combination of education/related experience: Required
- Master's Degree: Preferred
- Five years' technical experience: Preferred
Licenses/Certifications:
- AHIMA-approved Registered Health Information Technician (RHIT) or RHIA with current AHIMA credentials or in program and experience in acute care: Preferred
Essential Functions:
- Assists management with staff appraisals, training, coaching, counseling, hiring and termination. Assists with writing internal policy and procedures for HIM functions. Regularly meets with staff in feedback sessions to discuss progress. Supports leads and team functions. Monitors workflow to promote prompt, accurate and reliable services. Manages SAFe and Ivanti tickets, follows-up on unresolved issues. Establishes and maintains work schedules. Assures staff are maintaining annual HP requirements and completes HealthStream assignments timely. Validates employee timecards. Consistently collaborates with Director on department status and issues.
- Assures document imaging process is current and output is accurate. Collaborates with CPDI Council regarding forms, bar codes and cross reference, as needed. Follows up with department and policy coordinator on new forms. Confirms new forms are scanned correctly. Correct scanning issues, notify end users of scanning errors.
- Calculates deficiency percentage and reports statistics. Audits reports and physician letters for accuracy and reliability. Monitors system and process for accuracy and reliability. Assures ROI activities are performed promptly and accurately. May act as the Custodian of Records when called to court. Maintains awareness of ROI regulations and incorporates changes in ROI procedures.
- Understands and appropriately applies TJC standards, medical staff rules, local, state, and federal regulations to documentation and reporting requirements. Reviews medical records accurately to determine compliance with standards. Identifies clinicians responsible for documentation non-compliance. Prepares reports of findings ensuring data is accurate and reliable. Assists other department directors when surveyors are requesting copies of records.
- Understands and applies privacy regulations when handling protected health information. Assures staff are following procedures that protect patient information. Report privacy breaches and conduct monitoring activities as needed. Submits RADARs, as appropriate.
