Position Description: The Assistant Director for the Family Property Management department provides direct support to the Director of Family Property Management. This role supervises the Training Manager, the Floating Property Manager, and the Facilities Team. The Assistant Director works closely with the Compliance and Asset Management teams, and maintains positive and collaborative relationships throughout the organization in support of the Family Property Management team. This position would be considered a part of the senior staff team at Foundation Communities.
Primary Duties/Responsibilities
- Oversee and monitor Section 8 rent
- Ensure compliance with the Section 811 program
- Supervise the Floating Property Manager, Training Manager, and Facilities Team
- Assist in developing and implementing training programs
- Assist in developing and managing all marketing programs related to the portfolio
- Oversee and administer departmental software programs, including Haven Connect (waitlists), FC website property pages, Criteria/Hire Select, United Language Group, Property Management Systems, and any others directly related to family property
- Develop and roll out operational processes, including revising, updating, and maintaining departmental policies, procedures, forms, and reports
- Conduct annual rent studies to ensure accurate charges and capture of rent
- Review and oversee reports prepared by property and departmental staff
- Review commissions and bonuses in the secure folder system
- Process invoices and allocate expenses
- Stay up to date on industry changes; attend AAA Advocacy Committee meetings, training courses, and webinars as needed
- Schedule and oversee quarterly Tool Time events and coordinate enhanced departmental newsletters
- Order uniforms, supplies, and other supporting materials to properties
- Participate in the oversight of lease-ups for new construction
- Liaison with Asset Manager for insurance matters
- Work on assignments that are complex in nature where considerable judgment and initiative are required in resolving problems and making recommendations
- May determine methods and procedures on new assignments and may provide guidance to other exempt and nonexempt personnel
- May be assigned to cover District Manager duties in the event of absence or vacancy
- Perform other duties as assigned
Minimum Requirements
- High School Diploma or Equivalent
- 8+ years’ experience working in a Property Management supervisory role and 3+ years’ experience as a District or Regional Manager
- Must possess excellent leadership, coaching and training skills
- Must possess outstanding organizational and communication skills
- OneSite or Property Management software experience
- Ability, willingness and sensitivity to work with a diverse, low income, population
- Sound judgment, excellent assessment and problem-solving skills
- Effective writing skills
- Dependable and trustworthy
- Ability to work independently
Preferred Requirements
- CAM and CAPS Designations
- Familiarity with Federal funding and/or knowledge of LIHTC, HOME and TCAP programs
Working Conditions
General office environment. Work is generally sedentary in nature but may require standing and walking for up to 10% of the time. The working environment is generally favorable. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.
Physical Requirements
Requires sitting or standing at a desk for long periods of time indoors. Eye and hand coordination for viewing of monitor screen and multiple reports along with high volume of keyboard use.
Compensation
Starting at $110K/annually
