Job Title: High School Attendance Administrative Assistant

Department: High School Office

Reports to: Principal

Classification: 11-Month, Non-Exempt | 7:30AM–4:00PM

 Definition

The High School Attendance Administrative Assistant supports the daily operations of the High School Office by managing student attendance, maintaining records, and assisting with health and wellness documentation. This position is central to creating a welcoming, organized, and service-oriented environment for students, families, and staff.

 Essential Functions

  • Manage and reconcile daily attendance records in the school’s information system.
  • Communicate with parents and staff regarding attendance, absences, and tardies.
  • Issue passes and log absence, suspension, and early release documentation.
  • Maintain alumni files, cumulative records, and transcript requests.
  • Assist with end-of-year archiving and records compliance.
  • Update and maintain student health and emergency forms.
  • Provide basic first aid and support for students’ health needs under supervision.
  • Greet and assist visitors, students, and families with professionalism and care.
  • Support front office operations and collaborate with administrative team members.
  • Participate in staff meetings, cross-departmental support, and year-end reconciliation.
  • Greets substitutes and provides badge/keys
  • Other duties as assigned.

Qualifications

  • High school diploma or equivalent required; college coursework preferred.
  • Two years of administrative or data management experience (school setting preferred).
  • Strong organizational, communication, and multitasking skills.
  • Proficiency in Microsoft Office, Google Workspace, and student information systems.
  • Commitment to confidentiality and teamwork.

                   PHYSICAL DEMANDS AND WORKING CONDITIONS

 The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing, and/pulling; and significant fine finger dexterity. Generally, the job requires 75% sitting, 15% walking, and 10% standing. This job is performed in a clean and healthy environment.
