POSITION SUMMARY:
The Ways to Work Administrative Support Specialist provides essential support to the Ways to Work program by assisting with Thanksgiving Boxes and Christmas tree angels, and client intake activities. This position plays a key role in managing insurance notifications, prescreening calls, coordinating some seasonal giving initiatives, and maintaining an active presence on social media.
DUTIES AND RESPONSIBILITIES:
- Prepare, track, and manage all insurance notifications to ensure compliance and accuracy for program participants. Communicate with clients, lenders, and insurers to resolve questions or discrepancies promptly
- Assist in creating and scheduling posts to highlight program milestones, success stories, and community partnerships. Maintain a positive, consistent online presence that reflects HumanKind’s mission and values.
- Serve as a knowledgeable and compassionate contact for the Ways to Work program, to assist with prescreening calls to gather essential information.
- Lead backend coordination of annual holiday assistance efforts, ensuring a smooth and equitable process for families.
- Verify family and child eligibility by confirming household and dependent status for all assistance requests.
- Focus on recruiting and stewarding donors for seasonal giving campaigns, tracking their commitments, and ensuring timely communication with sponsors.
KNOWLEDGE AND ABILITIES:
- Demonstrated knowledge and experience with standard office and clerical procedures, current office technology and computer programs/application including Microsoft Suite, Excel, Power-Point.
- Effectively communicate written and verbally with a diverse range of people.
- Ability to work effectively and respectfully in a team environment with a diverse group of coworkers, program staff, and program applicants/participants.
- Ability to manage multiple projects and various deadlines simultaneously.
- Demonstrate neatness, accuracy, mental alertness, tact, and courtesy.
- Excellent organizational skills and attention to detail.
MINIMUM QUALIFICATIONS:
- High School diploma or equivalent, associate degree in related field or other college degree preferred.
- Two+ years of experience with program administration and office duties.
- Valid Driver’s License and acceptable driving record.
- Complete, pass and maintain all required background checks and drug test.
