Description

Position Summary:

The Program Specialist provides administrative support to ensure the efficient operation of the HUD and DBHDD supported Independent Residential Programs. They will support management, coordinators, and employees through a variety of tasks related to organization and communication. They will be responsible for confidential and time sensitive material. They will be familiar with a variety of behavioral health concepts, practices, and procedures. They will have the ability to effectively communicate via phone and email ensuring that all administrative and program operational duties are completed accurately and delivered with high quality and in a timely manner. This position will work with multiple programs to support the process for successful enrollment and ongoing active involvement with all HUD funded Permanent Housing Support (PSH) programs and DBHDD Supported Independent Residential contracts.

Position Reports to: THRIVE Business Manager.

Duties and Responsibilities:

  • Maintain a list of active PSH clients and the status of their vouchers
  • Process failed claims/activities reports
  • Track resident moves/rental payments
  • Custodian for Housing Quality Inspections; Environmental Review Reports; and VAWA forms as needed
  • Support for Safety Coordinator as needed
  • Manage data in the HMIS system required by federal grant guidelines for HUD funded PSH programs
  • Maintain leasing and HUD Grant rental documentation and other programmatic paperwork necessary for adherence to HUD grant program requirements
  • Manage and oversee data coordination to support relevant programmatic and financial reports to program funding agencies and contractors.
  • Maintain active list of individuals and documentation that needs to be updated every 6-12 months. (Authorizations, treatment plans)
  • Work with Business Manager and THRIVE management to support program revenue cycle
  • Attend DCA, DBHDD, Advantage, and other meetings/ trainings as needed
  • Assist with review of failed claims and track progress within agency best practice policies and procedures
  • Support lead staff with monitoring of client progress through accurate documentation
    • Review treatment plans, notes, and assessments done by HSPs on My Avatar
    • Maintain program fidelity
  • Provides timely reports and admin support to direct care staff in documentation and system processes to support claims management and contract reimbursement reports
  • Administrative support for direct program staff to ensure they are meeting requirements for program guidelines and service productivity goals

Assistance with Landlord Support & Coordination & New intakes

  1. Assistance with lease coordination for new and renewal leases
  2. Assistance with ongoing Housing Quality Inspections
  3. Assistance with new intake and paperwork processing as needed
  4. Provides support for Independent Residential planning list in adherence with coordinated entry process

Reviews files, records, and other documents to obtain information to respond to requests

  1. Administrative support for ongoing grant audit and program fidelity reviews
  2. Maintains unit files to ensure compliance with grant level paperwork requirements
  3. Provides ongoing oversight and support for internal fidelity reviews and quality service audits
  4. Provides monthly/quarterly documentation audits for independent residential direct program staff

Qualifications


Minimum Qualifications:  Associates level degree in Social Services, or other related field.  Proven experience can be substituted for formal education.  Certified Peer Specialists are strongly encouraged to apply.  A passion for connecting with individuals with behavioral health barriers is a must.


Preferred Qualifications: 1-3 years working in human heal services and/or working within the behavioral health field.  Experience providing housing services and/or community mental health services.  Knowledge of and/or proficiency with Microsoft Office programs and/or with an electronic health record.
