Kentucky Derby Museum is a 501(c)(3) non-profit charitable organization that sits on the front steps of historic Churchill Downs Racetrack. It is one of the premiere attractions in the Louisville region, celebrating the tradition, history, hospitality and pride of the world-renowned event that is the Kentucky Derby. The Museum welcomes over 258,000 visitors annually; a large percentage of those visitors come from outside of Kentucky, journeying from across the country and the world. 


Position Purpose:

  

The primary purpose for this position is to assist in overseeing the retail sales channels, including the Kentucky Derby Museum Store, Churchill Downs Store, eCommerce site, Corporate Sales, and any off-site stores. The Retail Sales Assistant Manager will report to the Retail Sales Manager. While supervisory responsibilities are limited, this position provides guidance to staff and operational support on a regular basis, including acting as Manager on Duty during shifts when the Retail Sales Manager is not directly managing floor operations.


Essential Functions/Accountabilities: 

  •  Supports the Retail Sales Manager in personnel management of the following retail areas: Kentucky Derby Museum Store, Churchill Downs Store, eCommerce site, Corporate sales, Gift Guide sales, and any off-site stores that may be created.
  •  Motivates the Retail team to provide excellent customer service and ensures team performance consistently meets high standards. 
  •  Must be knowledgeable with all retail POS systems used in the Museum as well as any other associated software applications. 
  •  Demonstrates the ability to be self-starting and self-directed, effectively managing tasks without constant supervision. 
  •  Provides assistance with online order fulfillment, including pulling stock, processing payment through a POS system, and shipping orders. 
  •  Assists the Retail Sales Manager and Retail Specialist with reviewing all e-mails, phone messages, letters, or other correspondence directed to the store. 
  •  Assists customers with order inquiries, ensuring timely resolution and follow-through to maintain strong customer satisfaction; helps to build customer relations and reviews/discusses customer issues with the Retail Sales Manager. 
  •  Oversees store opening and closing procedures, register operations, and addresses operational issues as they arise, including cash reconciliation, security checks, and daily reporting. 
  •  Works with sales team to maintain store displays, cleanliness, and visual merchandising between customer interactions and sales. 
  •  Assists the Retail Sales Manager with the scheduling of team members, and managing the schedule to ensure adequate coverage and operational efficiency. 
  •  Assists the Retail Sales Manager with the hiring process, including phone screening, in-person interviews, on-boarding, and ongoing training. 
  •  Demonstrates collaborative skills to meet the needs of the customer and the financial goals of the department. 
  •  Ability to make decisions under pressure, while maintaining a calm and patient demeanor. 
  •  Advises Retail Sales Manager on staffing and personnel issues that need to be addressed. 
  •  Assists with annual physical inventory.
  •  Assists Retail Sales Manager with duties and tasks as required in the retail department and assumes the role as Retail Sales Manager in his or her absence.
  •  Follows loss prevention policies and procedures. 
  •  Assists the Retail Sales Manager in tracking sales goals, analyzing daily and monthly performance metrics, and identifying opportunities to increase revenue across all retail channels.
  •  Abides by the Museum dress code.
  •  Other duties, as assigned.

Requirements

Minimum Qualifications: 

  • Must be able to sufficiently pass a criminal background check. 
  • High school diploma or GED required; minimum (2) two years retail experience, one-year managerial experience, and (5) five years customer service experience.
  • Excellent written and verbal communications skills; has the ability to speak effectively with both individuals and groups.
  • Must have knowledge in basic business mathematics, including but not limited to discounts, percentages, and margins; able to analyze data as needed in work situations.
  • Able to apply common sense understanding and carry out written, oral or diagram instructions; able to deal with problem solving, including concrete and non-concrete variables; able to use inductive and deductive reasoning and logically deal with situations involving employees, customers, and the general public.
  • Time management skills, along with the ability to prioritize your personal work and the work of others.
  • Must have knowledge of Microsoft Office at the intermediate level or above. This includes, but is not limited to, creating and formatting Excel spreadsheets, PowerPoint presentations, and Word documents, such as training guides. 
  • Ability to stand for long periods of time, walk, climb stairs, move merchandise, and lift packages up to 35lbs.
  • Must have a valid drivers’ license.
  • Must be available to work Derby Week, including but not limited to, Thurby, Oaks, Derby, and the Sunday of Derby weekend; Racing Meets; and Annual Physical Inventory. 
  • Must be available to work during the week of FFA and Breeders Cup, when held in Louisville. 


Work Schedule

  • Approximately 40 hours per week, hours may vary (open all days of the week).
  • Longer hours are necessary during peak seasons such as Spring Meet, Derby Week, September Meet, Fall Meet, Breeders Cup, End of Year Inventory, etc. in addition to bi-monthly staff meetings which occur outside of operating hours. 


Working Conditions: 

While performing the duties of this position, the employee is regularly required to stand for long periods of time, walk, climb stairs, and move merchandise around. This individual will be required to lift packages up to 35lbs. The employee is required to have non-standard workday hours during the spring and fall sessions. All indoor spaces are air-conditioned, although some job duties may take place outside, on the loading dock or in another non-climate-controlled space. 


While performing the duties of this job, the employee is regularly exposed to a crowded work area. To perform this job successfully, an individual must be able to navigate a crowded area and handle a challenging workload.
