JOB TITLE: LEAD ATTENDANCE SECRETARY

SUMMARY: Under the direction of school administration, the Lead Attendance Secretary oversees student attendance operations at the assigned school and serves as the primary point of contact and mentor for other attendance staff. This position monitors and maintains accurate student attendance records, ensuring compliance with the state secretaries. The Lead Attendance Secretary also serves as an information resource for students, staff, and parents regarding enrollment and attendance policies and practices.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Oversees all student attendance record-keeping and processes at the assigned school site.
- Review attendance records to identify patterns of excessive absenteeism or tardiness; investigate issues and coordinate interventions with students, parents, and staff.
- Advise and confer with parents, students, and staff on school and district attendance policies. Initiate daily parent contacts regarding absences.
- Send required letters to parents for excessive absences and verify submitted absence documentation. Determine validity and excusal status; issue admit slips as appropriate.
- Compile and maintain all required attendance reports and documentation, including input from check-in/out logs, guidance, and health office records.
- Process attendance tardy referrals, discipline referrals, and suspension notices as required.
- Assist with front office duties, including answering calls, greeting visitors, and providing information to students, parents, and staff.
- Adjust student schedules for early dismissals and direct students to counselors or other staff when needed.
- Communicate with parents, probation officers, caseworkers, detention centers, special services, and other agencies as necessary.
- Process open enrollment forms, register incoming students, maintain accurate class lists, and update cumulative and inactive student files in accordance with state and district retention policies.
- Provide leadership, training, and guidance to other attendance secretaries, ensuring consistent and accurate enrollment and attendance procedures across staff.
- Support enrollment and attendance audits and ensure compliance with district and state regulations.
- Serve as the go-to resource for questions and problem-solving regarding enrollment and attendance operations.
KNOWLEDGE, SKILLS & ABILITIES:
- Strong knowledge of student attendance procedures, state laws, and district policies.
- Leadership and mentoring skills with the ability to train and support other attendance staff.
- Strong organizational skills with meticulous attention to detail.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with students, staff, parents, and community members.
- Ability to maintain confidentiality and demonstrate professionalism at all times.
- Ability to manage multiple tasks, meet deadlines, and solve problems effectively.
- Proficiency in Microsoft Office Suite, Google Suite, and student information systems.
- Ability to handle conflict and confrontations calmly and effectively.
QUALIFICATIONS & REQUIREMENTS:
Education & Experience:
- High School diploma or equivalent
- 1 year school attendance experience preferred or clerical experience required
- Experience mentoring or supervising staff preferred.
- Any equivalent combination of training, education and experience that meets minimum requirements
- Criminal justice/Fingerprint clearance
Computer Proficiency: Demonstrated general proficiency in computer programs such as Microsoft Excel, Word and Google Suite.

Indoor office environment. This position regularly works indoors. The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times. Will have contact with employees, external agencies and the public.
