About the Department

King County Metro Transit is hiring an Administrative Specialist III to support our fast-paced Construction Management Team within the Capital Division. This high-impact role is ideal for a detail-oriented professional who thrives in a construction or public works environment and is ready to play a key part in delivering critical infrastructure projects.


In this role you’ll manage calendars, coordinate meetings, track documents, process invoices, and support internal and external communications. You’ll work independently and collaboratively to streamline workflows, meet tight deadlines, and ensure compliance with administrative procedures, all while keeping multiple priorities in motion.

Recruitment Information: 

This recruitment will be used to fill 1 Career Service vacancy. In addition, this selection process may be used to generate an eligibility pool for future Career Service, Term-limited Temporary or Special Duty Assignment vacancies that may occur in this classification within the Capital Division. The eligibility pool will be retained for 12 months from the time it is established and may be extended or used at the discretion of the hiring authority.

Position Duties

Applying equity and social justice principles is a daily responsibility and foundational expectation for all King County employees. In this role, you will apply equity and social justice principles (ESJ) that exemplify shared values, behaviors, and practices to all aspects of the work. 

This position will require a variety of administrative, customer service, communications and professional skills to support the work unit. Success in this role means delivering timely, accurate project support and ensuring high-quality outcomes across the team. The following are examples of key responsibilities:

  • Provide comprehensive support including correspondence, purchasing, travel requests, document routing, and approvals.
  • Coordinate office logistics for construction sites, manage supplies, equipment, vehicle maintenance, and vendor services.
  • Manage procurement tasks using Oracle and purchases using County P-cards, reconcile invoices, and track vendor payments in line with County policies. 
  • Maintain project records and SharePoint sites, support internal communications, and assist with internal communications and events.
  • Facilitate meetings, prepare agendas and minutes, and manage scheduling and logistics.
  • Develop time-saving guides and streamlined systems to support staff understanding of County and Division policies.
  • Serve as administrative liaison between the unit and Division, participate in Division-wide initiatives, and collaborate on events and process improvements.
  • Provide backup coverage for other administrative staff and contribute to a cohesive, high-performing team.
  • Perform other related construction administrative duties as assigned.

Minimum Qualifications

Minimum Qualifications: 

  • Two years of college-level coursework and at least three years of progressively responsible administrative experience, or an equivalent combination of education and experience.
  • Ability to quickly learn and apply King County’s correspondence standards, legislative guidelines, and travel policies, or demonstrate transferable experience with similar administrative protocols.
  • Exceptional attention to detail in proofreading and editing documents for grammar, formatting, and clarity.
  • Ability to manage multiple priorities, work independently or collaboratively, and adapt to changing workflows.
  • Skilled in organizing complex tasks, coordinating with managers and supervisors, and maintaining effective working relationships.
  • Proficient in Microsoft Office 365 applications, including Word, Excel (formulas, charts, and data operations), SharePoint, and Teams, as well as Adobe Acrobat Pro.
  • Experience with, or ability to quickly learn, records management systems.
  • Proficiency in SharePoint with the ability to serve as a site administrator.
  • Capable of training external consultants in office processes and responding with urgency to time-sensitive requests.
  • Familiarity with basic accounting and math functions.
  • Comfortable working with individuals from diverse backgrounds, including internal staff, consultants, and the public. 

Highly Desirable Qualifications: 

  • Proficiency as a developer and/or administrator of a SharePoint site for employee use.
  • Knowledge and experience in Construction Management administrative practices.

Necessary Special Requirements: 

  • Valid Washington State Driver's License or alternate ability to get to meetings and work sites not served by transit at varying times of the day.

Work Schedule:

Our regular business hours are 40 hours per week, Monday through Friday. However, work outside of these hours may occasionally be required. This position is classified as non-exempt under the Fair Labor Standards Act and is eligible for overtime pay. We may also consider flexible hours.


Work Location:

The Construction Management Team works in a hybrid model, with days in the office as well as telecommuting. The ratio of remote to onsite work will be dependent on business needs and is subject to change. The primary onsite location is 12501 East Marginal Way S, Suite 110, Tukwila WA 98168.

Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.

King County has a robust collection of tools and resources to support working remotely. The individual selected for this opportunity will join an innovative and progressive team that is redefining how we work as we transition to the department's hybrid environment. Employees will be provided with a County-issued laptop and must maintain a home workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours.
