Position Summary

The Director of Surgical Services Operations is responsible for the day-to-day management of a multi-channel, hospital based surgical and procedural access center. In collaboration with the hospital’s Chief Surgical Officer and/or Chief Operating Officer, this individual will have oversight for developing protocols and processes to ensure ease of access to the surgical and procedural areas. This individual will work in collaboration with the Perioperative Governance Leadership to help drive optimized utilization of staffed
surgical/procedural areas.

Responsibilities:

Essential Functions
 Establishes a firm understanding of operational and clinical workflows specific to each service line for the purposes of efficient surgery scheduling
 Responsible for building relationships with physicians, operational leaders, and other key stakeholders to optimize access to surgical and procedural areas
 Optimizes scheduling platforms to include traditional and online platforms to ensure the organization is capturing both employed and community surgeon preferences through their preferred method of communication
• Responsible for recruiting, retaining, and managing the surgery scheduling team
• Ensures adequate staffing levels to meet established key productivity indicators such as telephone service levels, operating room utilization, reduction in last minute cancellations, etc.
• Responsible for continuous process improvement and operational changes, team member education, scheduling protocol changes, etc.
• Coordinates efforts with Physician practice operations, Information Technology, Hospital operations to maintain a dynamic platform that optimizes operating room utilization
 Collaborate effectively with physician and operational leaders to ensure optimal utilization of provider time in the surgical/procedural space
• Actively works with operating room and physician leadership to achieve access to care objectives
• Ensures that pertinent information is effectively communicated to the surgery scheduling team regarding changes related to block allocation, block modifications, provider schedules and supply chain updates.
• Monitors daily access to surgical and procedural areas, identifies current barriers to access, and collaborates with providers, support staff and managers to expedite daily access.
• Acts as a conduit between operating room operations and physician practices
• Monitors inbound and outbound communications for quality assurance purposes
• Maintains a high touch service centric culture and builds a team aligned with this service philosophy
• Maintains flexibility in work schedule in order to meet the needs of the department
• Maintains regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA and other federal, state and local standards
• Maintains compliance with all Orlando Health policies and procedures

 

Other Related Functions
 Knowledge of Orlando Health revenue cycle and clinical systems is required
 Maintains positive and productive working relationships with physicians, providers, leadership of nursing, information services, revenue management, ancillary services, and other operational customers, both internal and external
 Stays abreast of government healthcare reform, technology, medical advances, and new development in healthcare to advance the mission of Orlando Health
 Responds to the needs of others through effective communication, mutual respect, and consistent follow through

Qualifications:

Education/Training
Master's degree in Business, Health Administration or related healthcare field is required. Ambulatory Patient Access Center/Contact Center background is strongly preferred.

 

Licensure/Certification
None.

 
Experience
Minimum of five (5) years progressive healthcare management experience.
